Role Description:

This is a full-time, on-site role for an Administrative Officer located in Dubai. The Administrative Officer will be responsible for overseeing the day-to-day operations of the residences, ensuring their maintenance, safety, and cleanliness. The role includes managing the facility staff, coordinating with service providers, conducting regular inspections, and addressing any issues that arise. The Administrative Officer will also ensure all regulatory and safety standards are met and maintained.


Responsibilities:

  1. Managing & maintain the report & cash.
  2. Managing, Supervising, Training, and coordination of ERP.
  3. Supervising the Advance booking Confirmations.
  4. Supervising the house keeping service.
  5. Supervising Advance booking Confirmations – Ensure the bed/apartment to be ready prior to check in.
  6. Coordinating the complete transport arrangements (including daily schedule and Airport pick up arrangements and other request.).
  7. Supervising the drivers and vehicles under ESAW.
  8. Managing the Inventory Management.
  9. Solutions for the IT related issues.
  10. Maintaining the Purchase and Maintaining account. Finding the vendors as and when required.
  11. Negotiate and manage contracts with service providers and suppliers.
  12. Supervising the Occupancy Update.
  13. Apartment Key Custodian and complete Storeroom Custodian.
  14. Verifying and solving the maintenance complaints.
  15. Addressing to the students’ complaints.
  16. Coordinate and oversee routine maintenance tasks, repairs, and inspections. Manage the facility budget, including expenses for maintenance, utilities, and repairs.
  17. Monitor expenses and identify cost-saving opportunities.
  18. Provide guidance and support to team members.
  19. Conduct performance evaluations and address any issues or concerns of the team members.
  20. Coordinate office moves and renovations.
  21. Maintain accurate records of facility-related activities, including maintenance logs and inventory.


Qualifications:

* Facility Management and Maintenance skills.

* Experience in staff management and coordination.

* Knowledge of safety regulations and compliance standards.

* Excellent problem-solving and organizational skills.

* Strong communication and interpersonal skills.

* Experience in the housing or real estate or hotel industry is a plus.

* Bachelor's degree in Facility Management, Business Administration, or related field.
