Summary:
We are seeking a professional, organized, and patient-focused Administrative Receptionist to join our team. In this role, you will serve as the first point of contact for patients and visitors, ensuring a welcoming and professional experience while supporting the smooth daily operations of the center.
The ideal candidate is highly organized, customer-service oriented, and able to manage front desk responsibilities efficiently in a fast-paced healthcare environment. This role requires excellent communication skills, attention to detail, emotional intelligence, and the ability to handle sensitive information with professionalism and confidentiality.
Key Responsibilities:

Welcome and assist patients and visitors in a professional and compassionate manner.

Manage patient registration, appointment coordination, and patient journey processes in an efficient and professional manner.

Handle incoming calls, WhatsApp inquiries, emails, and appointment scheduling professionally.

Coordinate and confirm appointments while ensuring accurate patient information is maintained in the system.

Provide patients with accurate information regarding services, clinicians, assessments, and clinic procedures.

Maintain organized reception and waiting areas to ensure a positive patient experience.

Process administrative documentation, patient records, forms, and reports accurately.

Coordinate with clinical and administrative departments to support smooth patient flow and daily operations.

Handle patient concerns or inquiries professionally and escalate matters when required.

Ensure strict confidentiality and compliance with healthcare privacy and administrative policies.

Support additional administrative and operational duties as assigned.
Qualifications & Experience:

Previous experience in a receptionist, front desk, customer service, or administrative role, preferably within a healthcare or medical setting.

Strong communication and interpersonal skills with excellent spoken and written English (additional languages are an advantage).

Professional demeanor and strong customer service orientation.

Excellent organizational skills and ability to multitask in a fast-paced environment.

Proficiency in Microsoft Office, scheduling systems, and administrative software.
