DESCRIPTION:

Have you ever wondered how the intricate dynamics of a state legislator's office operate, particularly within the legislative branch? The Office of Senator Mary Washington is seeking a highly organized and dedicated Administrative Secretary (AS) to play a pivotal role in managing the office's daily operational activities. In this dynamic position, the AS will collaborate closely with the Chief of Staff, overseeing a variety of critical administrative tasks that ensure the efficient operation of our team. The duties will encompass coordinating intricate schedules to ensure optimal time management and efficiency. The position plays a key role in facilitating effective communication, fostering collaboration among team members, and establishing strong connections with colleagues and external agencies.

TYPE: TEMPORARY CONTRACTUAL (November 17 - April 17, 2026)

DUTIES AND RESPONSIBILITIES:

● Schedule and confirm the Senator's appointments, meetings, and maintain the office, committee, and delegation calendars and important events.

● Check and record all internal communications received from various platforms (mail, telephone, social media)

● Greet the public and assist with questions or concerns, and address live incoming calls and office correspondence professionally.

● Manage both physical and digital filing systems, including databases, spreadsheets, and other types of documents.

● Assist with the distribution of correspondence and updates for constituents and government agencies.

PREFERRED SKILLS AND ATTRIBUTES

● Demonstrated experience in office administration, executive assistance, or related positions. Proficient in office tools and software, particularly the Microsoft Office Suite and project management platforms.

● A proactive approach with a strong dedication to inclusivity and the cultivation of a positive team culture.

● Ability to adapt to shifting priorities while maintaining meticulous attention to detail.

● A high school diploma or equivalent is required; postsecondary training or certification is preferred.

● Good written and verbal communication skills.

● Capacity to manage complex and confidential information and data with the utmost professionalism. Ability to perform tasks efficiently and effectively.

Location and Hours

● November through December: Hybrid (Baltimore District Office and Virtual)

● January through April: In Person (Annapolis Office)

● Monday through Friday. 8:30 AM to 4:00 PM

Compensation

Hourly Rate Range: $18.50-$20.00
