Administrative Specialist

Job Title: Administrative Specialist (Electrical & Property Management)
Job Type: Part-Time or Full-Time | Hourly | Remote (with occasional local travel)

About the Role
We are a small, owner-operated electrical services and rental property business looking for a reliable and organized Administrative Specialist to help keep operations running smoothly. This is a remote position with occasional local travel as needed (property visits, vendor coordination, etc.).

This role is ideal for someone who enjoys variety, can manage multiple responsibilities, and is comfortable working independently in a small business environment.

What You’ll Do

Electrical Business Support

  • Schedule service calls and coordinate technician/owner calendar
  • Communicate with customers for appointments, estimates, and follow-ups
  • Create and send invoices, estimates, and work orders
  • Maintain job records, permits, and documentation
  • Assist with tracking materials and coordinating with suppliers

Property Management Support

  • Respond to tenant inquiries and maintenance requests
  • Coordinate repairs and schedule vendors or service calls
  • Track rent payments, leases, and tenant records
  • Assist with vacancy listings and applicant communication
  • Help coordinate unit turnovers and basic property needs

General Administrative Tasks

  • Answer calls, texts, and emails in a professional and timely manner
  • Keep files, records, and systems organized
  • Track deadlines, renewals, and important dates
  • Assist with basic bookkeeping & Payroll
  • Support day-to-day needs of the business owner

What We’re Looking For

  • Prior administrative experience required
  • Strong organization and time management skills
  • Comfortable working independently in a remote environment
  • Excellent communication and customer service skills
  • Tech-savvy (Google Workspace, Microsoft Office; QuickBooks a plus)
  • Experience in construction, electrical, or property management is a plus

Additional Requirements

  • Reliable internet and ability to work remotely
  • Valid driver’s license and ability to travel locally as needed
  • Flexible and willing to adapt to changing priorities

Compensation

  • Hourly rate: $22-$25, based on experience
