POSITION SUMMARY

The Administrative Support role provides essential operational and clerical assistance to ensure the smooth and efficient functioning of Cottonwood Clinical Services, Inc. This position supports multiple departments by managing administrative tasks, maintaining organized systems, and promoting effective communication across the agency. With a strong emphasis on accuracy, timeliness, and professionalism, this role helps uphold agency standards, facilitate workflow, and contribute to a positive and productive work environment.

OBJECTIVES

  • Provide administrative and clerical support to ensure smooth daily operations.
  • Meeting and greeting clients to ensure a positive, welcoming, and supportive environment for all individuals entering Cottonwood.
  • Communicating professionally with referral sources and outside agencies to support coordinated care.
  • Assist with documentation management, filing, scanning, and uploading into internal systems.
  • Observe and collect urine specimens for urinalysis testing.
  • Manage incoming calls, messages, and communication across departments.
  • Support scheduling needs, including appointments and checking in clients for individual and/or group sessions.
  • Maintain clean, organized work areas and ensure proper handling of confidential information.
  • Uphold agency standards, policies, and core values in all work performed.
  • Perform other duties as assigned.

  • Maintains strict confidentiality in accordance with HIPAA and agency policies.
  • Strong organization and time-management skills; able to manage multiple tasks.
  • Effective written and verbal communication skills.
  • Proficiency with office equipment (computers, printers, phones, scanners, etc.).
  • Works collaboratively with team members across departments.
  • Adaptable and able to learn new systems, processes, and administrative tools.
  • Provides excellent customer service to clients, staff, and external partners.

EDUCATION AND EXPERIENCE

  • High school diploma or equivalent required.
  • Prior administrative or clerical experience preferred.
  • Experience in healthcare or behavioral health setting is a plus.
  • Familiarity with office software (Microsoft 365, SharePoint, Electronic Health Records) preferred.

PHYSICAL REQUIREMENTS

  • Ability to sit or stand for extended periods.
  • Ability to lift and carry up to 15 pounds (e.g. files, supplies, materials).
  • Frequent walking within the facility.
  • Sufficient hearing and speech to engage in effective communication.
  • Ability to operate standard office equipment (computers, printers, etc.)
