THE ROLE
Avocado is currently looking for an to be part of the Accounting and Finance team. You will be reporting to the Director of Accounting and Finance.
Working Capital Optimization: A major highlight is managing the company's Days Payable Outstanding (DPO). AP Analysts strategically time payments to keep cash in the company's bank account as long as possible (to fund operations) without damaging vendor relationships or incurring late penalties.
AP Automation Implementation: Transitioning from manual, paper-based AP processes to automated systems is a massive ongoing trend. AP Analysts frequently lead projects to integrate Optical Character Recognition (OCR) software, automated routing, and e-invoicing platforms to cut down processing time.
Fraud Prevention and Cost Recovery: AP Analysts act as financial detectives on the expenditure side. They regularly audit invoices to catch duplicate billings, unapproved price hikes, or fraudulent payment requests, directly impacting the company's bottom line by stopping revenue leakage.
This is a non-exempt position meaning it is hourly and you are entitled to overtime pay.
WHAT YOU’LL BE WORKING ON
Invoice Processing & 3-Way Matching: Receiving vendor invoices, verifying them for accuracy, and matching them against purchase orders (POs) and receiving documents to ensure the company actually received what it is paying for.
Payment Execution: Scheduling and processing outgoing payments (via ACH, wire transfers, credit cards, or checks) while maximizing early payment discounts and avoiding late fees.
Vendor Management: Serving as the primary point of contact for vendor inquiries, resolving billing discrepancies, updating vendor master files, and maintaining strong supplier relationships.
Expense Report Auditing: Reviewing employee travel and expense (T&E) reports to ensure they comply with company policies before issuing reimbursements.
Month-End Close: Reconciling the accounts payable ledger, accruing for unpaid expenses, and generating the AP Aging Report to provide a clear picture of short-term liabilities.
Compliance and Tax Reporting: Ensuring accurate collection of W-9 forms from vendors and assisting with annual 1099 tax reporting.
WHAT YOU BRING
System Implementation: Experience helping a company migrate to or roll out new systems (e.g., optimizing NetSuite, implementing AP automation software, etc.).
Process Automation Expertise: Experience configuring or optimizing OCR (Optical Character Recognition) software and automating the end-to-end purchasing cycle.
Advanced Analytics: Using Business Intelligence tools (like Tableau or Power BI) to visualize cash flow trends, AP aging, and Days Payable Outstanding (DPO).
Global AP & Multi-Currency: Experience handling international vendors, cross-border payments, and understanding foreign exchange (FX) impacts.
Audit & Compliance Experience: Familiarity with strict internal controls, specifically Sarbanes-Oxley (SOX) compliance for public companies.
PHYSICAL REQUIREMENTS
Stationary position: Must be able to remain stationary 60% of the time.
Move: This role involves moving throughout the office and manufacturing space to meet with different team members.
Operate: Constantly operates a computer and other office machines such as printers and tablets.
Communicate: This role frequently communicates with team members and leaders regarding performance, risks, and priorities.
