The project:

This is a unique opportunity to contribute to the successful delivery of world-class assets supporting major sporting events, including the development of multiple stadiums. Mace is at the forefront of this landmark program with a highly motivated client organisation and seeks results-driven professionals to join our exceptional teams, driving excellence at every stage of these high-profile projects.

You’ll be responsible for:

• Provides day-to-day administrative support to the project team, including typing correspondence, reports, and minutes, and offering informal guidance to junior staff.
• Manages project diaries alongside the Office Manager, including meeting room bookings, site visit coordination, and arranging refreshments for client and external meetings.
• Sets up and maintains the project office, arranging IT equipment, office furniture, and ensuring team awareness of administrative processes.
• Creates, maintains, and archives comprehensive electronic and hard-copy filing systems to ensure full project records for client handover.
• Administers project communications, including managing project email inboxes, Outlook mailboxes, correspondence logging, and project directory updates.
• Supports staff administration by maintaining Infomace profiles, tracking training records, and arranging required tests and training.
• Manages ordering from approved suppliers, petty cash, and reconciliations in liaison with the accounts department.
• Supports delivery of the net zero carbon transition by collaboratively identifying, managing, and reducing carbon emissions during project delivery.

You’ll need to have:

• Necessary visa criteria for the Kingdom of Saudi Arabia and have relevant work experience working on high valued projects/ programmes for a project management consultancy business, which are required for immigration and client approval.
• Degree qualification.
• Middle East experience.
