Job Responsibilities
- Create, organize, and maintain employee files in both physical and electronic formats according to the approved archiving system.
- File and maintain all employee-related documents such as employment contracts, appointment letters, performance evaluations, and official correspondence.
- Regularly update employee files by adding new documents and ensuring records are accurate and complete.
- Enter employee document data into the electronic archiving system or HR management system.
- Ensure all employee files comply with company documentation requirements and policies.
- Classify and arrange files systematically to allow easy retrieval when required.
- Retrieve and provide employee records to authorized personnel when requested.
- Maintain strict confidentiality of employee information and sensitive documents.
- Follow company policies related to document retention and secure disposal of outdated records.
- Prepare periodic reports regarding archived files and documentation status.
- Coordinate with the HR team to ensure proper documentation and record management.
- Support improvements in archiving procedures and document management processes.
Required Skills and Qualifications
- Proficiency in computer applications and electronic archiving systems.
- Fluent in Arabic and English (spoken and written).
- Strong organizational and documentation skills.
- High attention to detail and accuracy.
- Ability to maintain confidentiality of sensitive information.
- Ability to work efficiently within a team environment.
