Assistant, Document Controls

We are looking for an Assistant Document Controller to work within Land Services supporting UK based project portfolios. Document Controller to undertake document control tasks like storage and management of documentation in accordance with WSP and Project Specific procedures. Furthermore, ensuring that project documentation and client deliverables are transmitted and received in accordance with project procedures using varied EDMS programs. A quality checklist must be followed prior to all documentation reaching the client to ensure that it adheres to the established controlled processes and practices. Consistency and transparency are key to maintain good relationships within the team and the client. The successful candidate must have the ability to work independently and be highly motivated whilst having a good appreciation of a deadline driven environment. They should be detail-oriented, dependable and trustworthy as they encounter complex and sensitive documents. This
is an exciting opportunity to work on major UK infrastructure projects demonstrating good time management adhere to the agreed standards. Our clients develop major aviation, highway, rail, energy and water infrastructure projects.


  • Manage and control project documentation in line with WSP and project-specific procedures.
  • Issue documentation to clients within agreed deadlines and record all issued documents per project life
cycle requirements.
  • Upload, distribute, and maintain drawings/documents in EDMS (ProjectWise, SharePoint, Aconex).
  • Ensure quality checks and compliance with ISO 9001 and GDPR before client submission.
  • Maintain document control logs, issue sheets, and audit trails to ensure transparency and consistency.
  • Coordinate with teams in India and UK-based project managers for smooth document flow.
  • Safeguard confidentiality of sensitive documentation.
  • Provide the project manager with a schedule of documents received and transmitted including revisions.
  • Adhere to all internal and external requirements and procedures
  • Filing electronic incoming/outgoing documentation.
  • Distribution of documents to relevant people / organisations
  • Keep a “Document Control” log of in-coming and out-going information.
  • Responsibility for high level review of project life cycle-controlled documents.
  • Checking standard details on outgoing documents, for inconsistencies, revision changes and format.

We would love to hear from you if you have:
  • Experience in document control or within engineering, construction, or infrastructure projects.
  • Proficiency in MS Office (suite including Word, Excel and Power Point), SharePoint, Aconex, Think
Project, Wrench EDMS, ProjectWise or other document control software or similar document
management systems.
  • Have experience working for or with consultant, contractors or project management companies and can manage multiple projects simultaneously
  • Experience and confidence to present data to all stakeholders including contractors and clients
Prior experience organizing, managing, and operating document control systems.
  • Excellent analytical skills, interpersonal skills, ability to multitask, experience with audits.
  • Strong organizational skills, attention to detail, and ability to work under tight deadlines.
  • Excellent communication skills (written and verbal) with the ability to collaborate across geographies.
  • Knowledge of UK project environments and compliance standards (ISO, GDPR).
  • Highly motivated, dependable, and adaptable in a deadline-driven environment.
Qualifications
  • Bachelor’s degree in Business Administration / Information Management or a related field and similar
further education courses
  • More than 2 years’ experience as a Document Controller, records management for Engineering /
construction projects, preferably large-scale infrastructure projects in various sectors such as energy,
rail, water, highways.
