Position: Assistant HR Specialist
Department: People & Organizational Development (HR)
Reports to: Head of People & Organizational Development
Location: Dubai, UAE
Workweek: Monday – Friday (Office-based, with travel required for government-related tasks or internal workshop facilitation at site)

Pay: 3,000 - 4,000 AED (will not exceed this bracket)

Role Summary

The HR Assistant will support HR operations by managing UAE employment visa and documentation processes, HR records, and government liaison activities and assistance with employee onboarding. The role requires advanced level English, preferred hands-on experience with UAE government portals, and the ability to ensure compliance with labour laws, immigration rules, and ISO 9001:2015 document control standards.

This position works closely with the SESC Admin, SESC Operations (Document Controllers, Operations Manager), and external authorities such as MOHRE, GDRFA, MOFA, DHA, DED, and the Chamber of Commerce.

Key Responsibilities

Government Liaison & Compliance

  • Manage visa processing, employment permits, renewals, cancellations, and Emirates ID delivery for new joiners.
  • Liaise with MOHRE, GDRFA, MOFA, DHA, DED, Chamber of Commerce, and other government authorities.
  • Assist with MOFA attestation procedures for employee educational and professional documents.
  • Monitor MOHRE company classification and provide reports on implications for visa quotas and compliance.
  • Prepare and process company NOCs, approvals, government letters, and trade license renewals.
  • Ensure compliance with UAE labour and immigration laws.

HR Operations & Onboarding

  • Coordinate onboarding documentation, new hire orientation, and HR records management.
  • Support interview scheduling, candidate follow-ups, and documentation requests.
  • Maintain staff probation and annual completion trackers.
  • Generate contracts, offer letters, employee correspondence, HR letters, NOCs, and salary transfer letters.
  • Maintain company organizational charts and update official government records as required.
  • Manage employee health insurance enrolment and delivery.
  • Assist in organizing internal company events, workshops, internal training and staff engagement activities.

HR Records & ISO Compliance

  • Maintain employee master lists, visa trackers, document expiry lists, and HRIS records.
  • Organize and control digital and hardcopy HR files in line with ISO 9001:2015 standards.
  • Track and update training records, training materials, and external training correspondence.
  • Ensure HR documentation and records are always audit-ready.

Staff Travel Support

  • Assist SESC Operations and Accounts international travel bookings (flights, hotels, transport) for staff.
  • Process staff flight entitlements.

Language:

  • Advanced level English - written and spoken (Required)
  • Arabic (Preferred)
  • Turkish (Preferred)

License/Certification:

  • UAE Driving License (Preferred)
  • MOFA attested degree certificate (Required)

Job Type: Full-time

Pay: AED3,000.00 - AED4,000.00 per month
