Assistant Manager - Admin

Description

Responsible for the administrative operations, proactively manage day-to-day office operations, coordination between departments, transportation, and maintaining a safe and efficient work environment. The position requires strong organizational skills and the ability to manage multiple tasks effectively.

Office Administration:

  • Oversee daily office operations to ensure efficiency and smooth workflow.
  • Manage office supplies overall consumables items.
  • Maintain housekeeping and orderliness of the office premises including cafeteria.
  • Liaise with cross functional departments and provide necessary support in meeting and any events.
  • Act as a point of contact for any urgent support.

Transportation Management:

  • Manage daily pick-up and drop-off for female staff.
  • Maintain staff transport and update them in case of changes in location or driver.
  • Organize airport pick-ups and drop-offs for guests, visitors, consultants, donors, or dignitaries.
  • Coordinate with internal departments to plan guest movement schedules.

Inventory Management:

  • Maintain accurate records of office consumables items.
  • Inventory checks and ensure proper placement.

Safety and Compliance:

  • Ensure compliance with health and safety regulations and maintain standards for a safe working environment.
  • Maintain record and implementation of checklist.

Team Leadership:

  • Supervise junior staff, drivers and cleaners.
  • Provide guidance, delegate tasks, and monitor performance.
  • Submission of Overtime

Vendor Management:

  • Maintain good relationships with vendors and ensure timely delivery of consumables.

Emergency Response:

  • Support emergency preparedness and safety measures.

Required Skills

  • Excellent leadership, communication, and interpersonal skills.
  • Ability to prioritize tasks, manage multiple tasks simultaneously, and meet deadlines.
  • Proficiency in Microsoft Office (Word, Excel & Power Point).

Education

At least 5 years’ experience in the administrative role, managing large

Experience

Bachelor’s degree in Business Administration or a related field (preferred)
