Assistant Manager - HR Operations

Description

Level3 BOS is seeking a highly organized and proactive Assistant Manager – HR Operations to oversee and strengthen HR operational processes within a fast-paced BPO environment. The ideal candidate will have strong experience in HR operations, workforce data management, and HR reporting, along with advanced Excel capabilities and excellent English communication skills.

This role will play a key part in ensuring the accuracy of HR data, supporting employee lifecycle management, improving HR reporting systems, and maintaining efficient HR processes for a large operational workforce.

Key Responsibilities

  • Oversee and maintain accurate HR records, employee databases, and documentation, ensuring confidentiality and compliance.
  • Utilize advanced Microsoft Excel (Pivot Tables, VLOOKUP, Data Analysis, Conditional Formatting, etc.) to develop HR reports, dashboards, and workforce analytics.
  • Manage attendance and leave management
  • Coordinate with the Finance team for payroll processing by providing accurate attendance and compensation data.
  • Prepare and review HR documentation including offer letters, confirmation letters, warning notices, promotion letters, and separation documentation.
  • Supervise employee onboarding and orientation processes ensuring compliance with HR policies and documentation standards.
  • Support recruitment operations, including candidate tracking, interview coordination, and recruitment reporting.
  • Maintain HR compliance records and assist during internal or external audits.
  • Act as a first point of contact for employee HR queries, ensuring professional communication and timely resolution.
  • Coordinate training records, policy implementation, and employee documentation management.
  • Lead HR reporting, workforce analytics, and process improvement initiatives to enhance operational efficiency.
  • Assist senior HR leadership in implementing HR strategies and operational improvements.

Key Performance Indicators (KPIs)

  • HR Data Accuracy: Maintain 99% accuracy in HR records, employee files, and HRMS data.
  • Onboarding Efficiency: Ensure 100% completion of employee onboarding documentation within the first 3 working days.
  • Payroll Data Accuracy: Provide payroll inputs with zero critical discrepancies before payroll processing deadlines.
  • HR Reporting: Deliver weekly and monthly HR reports and dashboards within the defined timelines.
  • Employee Query Resolution: Respond to and resolve HR queries within 24–48 hours.
  • Attendance Monitoring: Ensure accurate tracking and reporting of attendance, leave, and shift records for all employees.
  • Compliance Management: Maintain up-to-date compliance documentation and support 100% audit readiness.
  • Process Improvement: Identify and implement at least 2 HR operational improvements annually.
  • Documentation Turnaround Time: Issue HR letters and documentation within 48 hours of request/approval.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 3–5 years of HR Operations experience, preferably within a BPO.
  • Strong expertise in Microsoft Excel for HR reporting and data analysis.
  • Excellent written and verbal English communication skills.
  • Experience with HRMS, attendance management systems, and payroll coordination.
  • Strong analytical ability, attention to detail, and organizational skills.
  • Ability to manage HR processes within a high-volume and performance-driven environment.
  • Demonstrated leadership capability and problem-solving mindset.
