We are seeking a highly organized, proactive, and discreet Assistant to the CEO to provide comprehensive support to our Chief Executive Officer. This individual will play a critical role in managing the CEO’s schedule, communications, and strategic priorities, while acting as a key liaison between the CEO and internal/external stakeholders. This is a high-visibility position ideal for someone who thrives in a fast-paced environment, exercises sound judgment, and has strong interpersonal and organizational skills.

Key Responsibilities:

  • Executive Support:
  • Manage and optimize the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
  • Act as gatekeeper and first point of contact for internal and external requests to the CEO.
  • Prepare and organize materials for meetings, presentations, and reports.
  • Draft, review, and manage correspondence on behalf of the CEO.
  • Project Management & Strategic Support:
  • Support the CEO in tracking key initiatives, deadlines, and deliverables.
  • Conduct research, compile data, and prepare briefing documents or summaries.
  • Assist in strategic planning processes and special projects as assigned.
  • Communication & Liaison:
  • Facilitate smooth communication between the CEO and internal departments, board members, partners, and clients.
  • Attend meetings with or on behalf of the CEO and capture actionable items.
  • Administrative & Office Support:
  • Maintain confidential files and records.
  • Manage expense reports and budgeting for the CEO’s office.
  • Coordinate logistics for company-wide events or executive off-sites as needed.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • 3+ years of experience in executive support, preferably supporting C-suite executives.
  • Exceptional organizational and time-management skills.
  • High level of discretion and professionalism.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite, Google Workspace, and collaboration tools (e.g., Slack, Asana, Zoom).
  • Ability to work independently, multitask, and prioritize under pressure.
