Assistant to Director

We are seeking a highly organized, proactive, and professional Female Executive Assistant to the Director/CEO to provide high-level administrative, operational, and strategic support. The role involves managing schedules, coordinating communications, handling confidential information, supporting decision-making processes, and ensuring smooth daily operations of the executive office.

The ideal candidate should possess excellent communication skills, strong multitasking abilities, discretion, and the capability to work in a fast-paced corporate environment.

✅ Key Responsibilities

  • Manage Director/CEO’s calendar, appointments, meetings, and travel arrangements
  • Prepare meeting agendas, presentations, reports, and minutes of meetings
  • Act as the primary point of contact between the executive and internal/external stakeholders
  • Screen calls, emails, and correspondence on behalf of the executive

Administrative Management

  • Draft emails, letters, and official communications
  • Maintain confidential files, records, and documentation
  • Organize board meetings, executive meetings, and events
  • Track tasks, deadlines, and follow-ups

Coordination & Communication

  • Coordinate with departments for reports, updates, and action plans
  • Follow up on assigned tasks and ensure timely completion
  • Liaise with clients, partners, vendors, and senior management
  • Handle sensitive information with strict confidentiality

Operational & Strategic Support

  • Assist in preparing budgets, presentations, and business reports
  • Support project coordination and special assignments
  • Conduct research and compile data for decision-making
  • Support policy implementation and process improvements

Office & Travel Management

  • Manage domestic and international travel bookings
  • Prepare itineraries and expense reports
  • Ensure smooth daily office operations for executive office

✅ Required Qualifications

  • Bachelor’s degree in Business Administration, Management, or related field
  • 1+ years experience as Executive Assistant / Personal Assistant / Admin Support
  • Experience supporting senior leadership (Director/CEO level preferred)
