Assistant to the CEO

Job Overview
We are seeking a dynamic and highly organized assistant to the CEO to join our team. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication skills, ensuring seamless coordination across multiple projects and responsibilities. This position is essential in fostering an organized, productive environment that empowers the CEO to focus on strategic initiatives and growth.

Duties

  • Schedule meetings and appointments.
  • Prepare, proofread, and transcribe documents, reports, and correspondence to ensure clarity and professionalism.
  • Take meeting minutes and disseminate to the team.
  • Coordinate special projects and manage vendor relationships.
  • Run errands locally.
  • Process paperwork and conduct email correspondence with clients, vendors, and teammates.
  • Handle incoming phone calls with professionalism and ensure prompt, courteous responses aligned with company standards.
  • Conduct filing, data entry, and document management.
  • Address inquiries efficiently in person or via phone.

Skills

  • Proven experience in executive administrative support or personal assistant roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite for document creation and collaboration.
  • Adept at handling multiple priorities simultaneously in a fast-paced environment.
  • Effective communication skills with professional phone etiquette.
  • Ability to handle sensitive information discreetly while maintaining a high level of confidentiality.
