Job Title: Assistant to the CEO

Location: On-site in Redondo Beach

Job Type: Part-time (10am-2pm Monday through Friday)

Klein Creative Media is a boutique production company located in Redondo Beach. We work with a range of clients from various industries to assist with their video production needs. As a small and nimble team, we pride ourselves on our collaborative spirit, professionalism, and passion for excellence.

Position Overview:

We are seeking a highly organized, proactive, and detail-oriented Assistant to support the CEO in the day-to-day operations of our company. This role is pivotal in keeping the company running smoothly by managing all administrative tasks and acting as a reliable point of contact for internal and external communication. You’ll be the right hand to the CEO, helping ensure projects, meetings, and company priorities stay on track.

We are seeking an individual eager to commit to a minimum of one year, with the potential for a longer-term collaboration.

This job is not for someone looking to phone it in or work from bed. It is for someone ready to hustle, learn fast, and grow their skills into a real career.

Key Responsibilities:

  • Manage the CEO’s calendar, schedule meetings, and coordinate appointments
  • Handle email correspondence and phone communications on behalf of the CEO
  • Stand in as the production manager for video production gigs
  • Track and file expenses, process invoices, and support basic bookkeeping
  • Organize and maintain digital and physical files
  • Prepare documents, decks, and meeting materials as needed
  • Take notes and follow up on action items from meetings
  • Maintain company records, contracts, and project documentation
  • Assist with production-related administrative tasks (e.g., call sheets, crew bookings, vendor coordination)
  • Handle office management tasks (supplies, shipping, subscriptions, certifications, etc.)
  • Overseeing the internship program
  • Support ad hoc projects and provide general administrative support as needed

Qualifications:

  • Excellent organizational and time management skills
  • Strong written and verbal communication
  • High attention to detail and ability to manage multiple priorities simultaneously
  • Comfortable with fast-paced, dynamic environments
  • Proficient in Microsoft Office, Dropbox, Adobe, Hubspot, and other project management tools
  • Discretion and professionalism in handling sensitive information
  • Local to the South Bay
