1. Role Summary
The successful candidate will play a crucial role, bridging administrative functions with commercial development.
Reporting directly to the Business Owner/Employer , this role is responsible for ensuring the smooth flow of back-office operations while providing
proactive and direct support to sales activities, specifically focused on client research and qualification.
2. Key Responsibilities
A. Administrative Back Office Activities
- Order and Documentation Management: Complete management, entry, and monitoring of sales orders (from receipt through to invoicing).
- Simple Accounting Support: Issuing and archiving invoices, quotes, etc..
- Organization and Filing: Maintaining and updating the archive, ensuring documentation traceability.
- Administrative Customer Service: Managing correspondence and incoming calls related to shipping, deliveries, and order status.
B. Commercial Development and Sales Support Activities
- Client Research and Development (Prospecting): Identification and active research of new business opportunities and potential clients (leads) using databases and professional platforms.
- Initial Contact and Qualification: Making cold calls and sending emails to introduce the company and qualify the interest of potential clients.
- Appointment Management and Follow-up: Organizing, planning, and attending visits/meetings (virtual or physical) with potential clients, or transferring the qualified contact to the Sales Manager for closing.
- Client Data Management (CRM): Entering and constantly updating client and prospect data in the CRM system.
- Offer Preparation: Assisting in the drafting and sending of quotations and commercial offers.
3. Requirements and Skills
- Experience: Previous experience of at least 5 years in a Commercial Back Office role or with prospecting duties.
- Education: High school diploma (a university degree is a plus).
- IT Skills: Excellent knowledge of the Office Package (in particular Excel) and proficiency with the use of ERP and/or CRM management software.
- Soft Skills:
- Proactivity and strong results orientation.
- Excellent communication and interpersonal skills, essential for client contact.
- Precision, methodical approach, and the ability to work independently.
- Resilience to stress and determination in achieving commercial objectives.
- Languages: Excellent knowledge of the English language, both spoken and written.
