Position Summary:

The role is responsible for managing day-to-day Alumni Affairs operations and maintaining a robust database that will facilitate alumni outreach. More specifically, it entails management, maintenance, and optimization of alumni data systems and operational workflows that support engagement, communications, and reporting. It also entails ensuring data integrity and confidentiality.


Key Responsibilities:

  • maintain and update the alumni database with accurate contact, employment, and engagement records
  • ensure data quality through regular audits, duplication checks, and validation processes
  • develop and enforce data entry protocols and privacy compliance standards
  • manage the alumni CRM platform and generate segmented lists of alumni for communications, events, and fundraising campaigns
  • produce regular reports on alumni engagement, event participation, and campaign performance
  • analyze trends to inform strategy and improve outreach effectiveness
  • support impact measurement for alumni programmes and alumni donor stewardship
  • manage issuance of alumni cards, life-long email addresses and other alumni related material
  • coordinate logistics for mass communications, surveys, and digital campaigns
  • maintain documentation of processes, SOPs, and data workflows
  • support vendor coordination and procurement for alumni operations
  • liaise with other departments for efficient execution of Alumni Affairs’ deliverables.

Qualifications & Experience:

  • Bachelor’s degree in Information Systems, Business Administration, or related field
  • 1-2 years of experience in data management, CRM administration, or operations
  • proficiency in Excel and data visualization platforms
  • familiarity with data privacy best practices
  • experience in higher education or nonprofit sector is a plus
  • strong analytical and problem-solving skills
  • detail-oriented with a commitment to data accuracy
  • ability to manage multiple tasks and deadlines
  • collaborative mindset and service-oriented attitude
  • discretion and integrity in handling sensitive data.
