Job Summary:

Associate IT Project Manager will support and partially lead delivery across multiple IT initiatives, including a major Salesforce implementation over the next 18 months. This role partners closely, technical leads, and business stakeholders to coordinate workstreams, maintain project structure, and manage portions of the project lifecycle. This role requires one to be highly organized, collaborative, and proactive. This role reports to the Director of Information Technology and will be poised to grow into full project ownership.

Scope of job:

The Associate IT Project Manager supports and partially leads delivery across multiple IT initiatives using a hybrid Agile/Waterfall approach, with near‑term focus on a major Salesforce implementation over the next 18 months. The role coordinates assigned workstreams (e.g., requirements, testing, training), maintains core project artifacts (schedules, RAID logs, resource trackers), monitors risks and dependencies, facilitates smaller cross‑functional sessions, drafts executive-ready updates, and contributes to SIT/UAT, cutover, and hyper‑care readiness. The Associate Project Manager improves templates and processes, helps translate technical updates into business terms, and partners closely with senior PMs, technical leads, and business stakeholders to ensure predictable delivery and clean operational handoffs.


Duties/Responsibilities:

Project Delivery (Hybrid Methodology)

  • Assist in managing IT projects from planning through closure using a hybrid Agile/Waterfall approach.
  • Contribute to developing project artifacts such as schedules, scope summaries, RAID logs, and resource trackers.
  • Maintain and update integrated project plans under guidance from senior PMs.
  • Monitor risks, issues, and dependencies; escalate appropriately and recommend preliminary mitigation options.
  • Support delivery controls including weekly status reporting, action tracking, and change documentation.

Salesforce Implementation Support & Partial Ownership

  • Coordinate assigned Salesforce workstreams (e.g., requirements documentation, configuration tracking, testing coordination).
  • Support data readiness, migration planning, and integration tracking by gathering updates and maintaining structured documentation.
  • Assist with SIT/UAT planning, defect tracking, and training logistics.
  • Contribute to cutover and go-live readiness planning by preparing checklists and consolidating readiness inputs.
  • Maintain organized repositories of deliverables and help ensure alignment across internal teams.

Stakeholder Engagement & Communication

  • Facilitate smaller working sessions and assist senior PMs with larger cross-functional meetings.
  • Prepare agendas, meeting notes, follow-up actions, and status updates.
  • Draft executive-ready summaries and dashboards for review by senior PMs.
  • Help translate technical updates into clear, business-friendly communication.

Quality, Readiness & Operational Handoff

  • Support testing coordination, defect triage, and validation cycles.
  • Assist with cutover planning, go-live checklists, and hyper-care coordination.
  • Help prepare operational handoff materials including documentation, support models, and runbooks.

Process & Continuous Improvement

  • Maintain and improve project templates, trackers, and documentation standards.
  • Participate in lessons-learned sessions and help identify opportunities to improve delivery processes.
  • Recommend practical improvements to streamline coordination and increase predictability.

Required Skills/Abilities:

  • Working knowledge of project management concepts (scope, schedule, risks, dependencies).
  • Strong communication and organizational skills with growing confidence in stakeholder engagement.
  • Proficiency with Smartsheet/MS Project, Jira/Confluence, and Microsoft 365 (Teams/SharePoint).
  • Preferred: exposure to Salesforce projects, data migration, or testing workstreams; interest in pursuing PMP or similar certification.

Education, Experience, and/or Certifications:

  • Minimum of 3 years of experience in IT project coordination, junior project management, or PMO support.
  • Experience supporting enterprise application or infrastructure projects.
