Position Overview
The Authority Coordinator Engineer is responsible for managing and facilitating all coordination activities with relevant government authorities, service providers, and regulatory bodies to support project approvals, NOCs, permits, and design submissions. The role ensures timely communication, accurate documentation, and smooth follow-up across internal teams and external stakeholders to maintain project progress and regulatory compliance.
Responsibilities
- Coordinate with local authorities, utility agencies, and external stakeholders for project-related approvals, NOCs, permits, and technical clearances.
- Prepare, compile, review, and submit authority applications and supporting documents in line with project requirements and authority standards.
- Track submission status, comments, and approval timelines, and maintain a clear follow-up log for all authority-related matters.
- Liaise with internal design, BIM, supervision, and project teams to ensure technical information is complete, accurate, and submitted on time.
- Arrange meetings, inspections, and technical clarifications with authorities whenever required and communicate outcomes to the relevant project teams.
- Review authority comments and coordinate with engineers and consultants to ensure prompt closure and resubmission.
- Maintain proper records of submissions, permits, drawings, approvals, correspondence, and related authority documentation.
- Support project teams in understanding authority procedures, regulations, and submission requirements applicable to each project.
- Monitor updates in authority rules, digital submission platforms, and regulatory requirements, and share relevant changes internally.
- Assist in resolving authority-related issues that may affect project progress, design approvals, inspections, or construction activities.
- Ensure all coordination activities are carried out in compliance with company standards, project schedules, and client expectations.
- Prepare regular status reports highlighting pending approvals, risks, bottlenecks, and recommended actions.
Requirements
- Bachelor’s degree in Civil Engineering, Architecture, Infrastructure Engineering, or a related discipline.
- 3–7 years of relevant experience in authority coordination, design submissions, or project approvals within the UAE consultancy or construction sector.
- Good working knowledge of UAE authorities and service agencies such as Dubai Municipality, Trakhees, DEWA, DCD, RTA, Nakheel, Emaar, or similar entities, depending on project type.
- Familiarity with authority submission processes for building and/or infrastructure projects in Dubai and other Emirates.
- Ability to read and understand engineering drawings, technical reports, and submission packages.
- Strong organizational skills with the ability to manage multiple submissions, deadlines, and follow-ups at the same time.
- Excellent communication and coordination skills in dealing with internal teams, clients, and external authorities.
- Proficiency in Microsoft Office applications; familiarity with online authority portals and document management systems is an advantage.
- Understanding of BIM deliverables, submission workflows, and ISO 19650 documentation practices is preferred where applicable.
- Fluent in English; Arabic is an advantage.
