Job Summary
The Automotive Service Advisor is responsible for managing daily service operations for light vehicles, ensuring a smooth workflow between technicians, drivers, divisions, and management. The role includes job card control, vehicle inspection documentation, cost estimation, parts coordination, breakdown handling, and overall service administration to ensure efficient and timely service delivery.
Key Responsibilities
1. Vehicle Inspection & Documentation
- Prepare vehicle checklists for all light vehicles.
- Ensure proper documentation of vehicle condition before and after service.
- Maintain organized records of inspection reports and service history.
2. Job Card Management
- Manually close job cards with accurate labour charges.
- Attach all supporting bills, invoices, and relevant documents.
- Monitor pending and Work-in-Progress (WIP) job cards.
- Verify daily job card updates and invoice status.
3. Estimation & Cost Control
- Prepare service and repair estimations for all light vehicles.
- Coordinate approval processes with concerned divisions.
- Ensure cost accuracy and obtain approvals prior to job execution.
4. Breakdown & Emergency Coordination
- Allocate breakdown cases efficiently to technicians.
- Communicate with drivers and the technical team for immediate action.
- Ensure timely response, proper follow-up, and resolution of issues.
5. Technician & Overtime Allocation
- Assign technicians based on workload, skills, and job requirements.
- Allocate and record technician overtime as required.
- Monitor productivity and ensure timely completion of assigned tasks.
6. Parts & Procurement Coordination
- Send requests for new batteries, tyres, wheel alignment, and other required services to concerned divisions.
- Coordinate spare parts purchases with the purchasing department.
- Track parts availability to prevent service delays.
7. Communication & Administration
- Manage service-related emails and official correspondence.
- Communicate effectively with internal departments and external suppliers.
- Maintain proper filing and documentation of service records and reports.
Required Skills & Qualifications
- Diploma or relevant experience in the Automotive / Mechanical field.
- Minimum 2–3 years of experience in automotive service center operations.
- Good knowledge of light vehicle maintenance and repair procedures.
- Strong communication and coordination skills.
- Proficiency in MS Office (Excel, Word, and Email).
- Ability to manage multiple tasks and work under pressure.
