Back Office Assistant (Guest Communication – Holiday Homes)

Luxe Living Collection is a Dubai-based Holiday Homes management company operating high-end short-term rental properties across the city.

This is a full-time, office-based role, with the company office located in Citadel Tower, Business Bay.

We are looking for a reliable and organized Back Office Assistant to manage guest communication and daily operational coordination for our holiday homes portfolio. The main purpose of this role is to ensure that all guest inquiries are handled promptly and professionally, operations are coordinated smoothly with internal teams, and no guest request, task, or follow-up is missed.

This is a hands-on operational role, focused on guest communication, scheduling, coordination, and follow-up.

Candidates with prior experience in Holiday Homes, Short-Term Rentals, or Property Management, particularly in guest communication or back-office operations, will be preferred.

Job Description

The Back Office Assistant is responsible for handling guest communication and coordinating daily operational activities for holiday homes. The role is primarily office-based and plays a key role in guest satisfaction, smooth operations, and rating protection.

Key Responsibilities

· Handle guest communication via Airbnb, Booking.com, WhatsApp, and phone

· Provide clear information regarding check-in, access, house rules, and policies

· Manage guest requests, questions, and complaints professionally

· Calm upset guests and escalate to on-site teams (GRO) when required

· Schedule and coordinate cleaning and maintenance tasks

· Coordinate GRO check-in times

· Coordinate with building management for check-in details and permits when required

· Handle AirCover cases and follow up with Airbnb

· Register guests in DTCM

· Request reviews from guests

· Use internal systems (PMS, Monday.com, access systems)

The role is primarily office-based; occasional on-field support may be required in specific situations.

Requirements

· Excellent English (spoken and written)

· Arabic is a plus

· Strong written communication and professional tone

· Ability to say no politely

· Organized, reliable, and calm under pressure

· Comfortable managing multiple chats and tasks simultaneously

· Good computer skills and ability to use multiple systems

· Experience in guest communication is mandatory

· Previous experience in holiday homes / short-term rentals is a strong plus

· Experience with Airbnb / AirCover is an advantage

Job Type: Full-time

Pay: AED4,000.00 - AED6,500.00 per month
