Position Summary

Help us win the work that builds Wisconsin! As a Bid Coordinator, you'll be the engine behind our preconstruction efforts-the organized, proactive professional who ensures our estimating team has everything they need to submit competitive, winning proposals. You'll manage project documents, bid schedules, coordinate with subcontractors and suppliers, compile proposal packages, and keep multiple opportunities moving simultaneously. What You'll Accomplish

Bid ManagementCoordination

  • Orchestrate the entire bid process from invitation to submission, ensuring nothing is missed and deadlines are met with accuracy
  • Track multiple bid opportunities simultaneously, maintaining organized schedulespriority lists
  • Coordinate plan distribution, addenda tracking, and pre-bid meeting logistics
  • Follow up strategically with subcontractors and suppliers to secure competitive pricing and scope coverage

Proposal Development

  • Compile comprehensive bid packages including scope letters, quotes, qualifications, and required documentation
  • Review specifications and drawings to identify scope requirements and documentation needs
  • Prepare professional bid forms, letters,submission materials that showcase our capabilities
  • Ensure all proposals are accurate, complete, and submitted on time through required channels

Relationship BuildingCommunication

  • Build and maintain strong relationships with subcontractors, suppliers, and trade partners
  • Serve as primary point of contact for bid-related questions and information requests
  • Communicate effectively with estimators, PMs,Leadership throughout the bid cycle
  • Participate in pre-bid meetings and coordinate site visits when needed

DatabaseSystem Management

  • Maintain accurate records of bid opportunities, results, and subcontractor/supplier databases
  • Track win/loss ratios and provide insights on bidding trends and opportunities
  • Manage estimating software and project tracking systems with precision
  • Support continuous improvement of bid processes and templates

What You Bring

SkillsExperience

  • Strong organizational abilities with proven talent for managing multiple deadlines simultaneously
  • Excellent follow-through and tenacity-you pursue what's needed until you get results
  • Proficiency with Microsoft Office Suite; experience with estimating or construction management software a plus
  • Outstanding communication skills that build relationships and drive accountability
  • Construction industry experience preferred but not required for the right candidate
