About the Position:
We are seeking a detail-oriented and reliable Billing Associate to join our team. This role is primarily responsible for project-based billing across multiple jobs and customers, ensuring invoices are accurate, timely, and compliant with contract requirements.
The ideal candidate will have prior experience in the construction or skilled trades industry and a strong understanding of billing processes such as progress billing, change orders, certified payroll, and union-related requirements. This position plays a key role in supporting operations and finance by maintaining accurate billing records and contributing to healthy cash flow.
Responsibilities:
- Prepare, review, and issue project-based invoices, including progress billing, milestone billing, and approved change orders
- Ensure billing aligns with contract terms, job progress, and supporting documentation
- Coordinate closely with Project Managers, Operations, and Accounting to validate billing accuracy
- Maintain accurate and organized billing records within the company’s accounting/ERP system
- Assist with certified payroll reporting and documentation, including prevailing wage and union-related requirements
- Support compliance with union agreements, job cost tracking, and audit requirements
- Reconcile billing discrepancies and resolve invoice-related issues in a timely manner
- Generate billing, AR aging, and status reports for management review
- Assist with month-end close activities related to billing
Qualifications:
- 2+ years of experience in a billing-focused role
- Construction industry experience strongly preferred (e.g., construction, low-voltage, electrical, HVAC, or other skilled trades)
- Certified payroll experience highly preferred
- Working knowledge of project-based accounting and billing
- Familiarity with union jobs, prevailing wage requirements, and job cost tracking
- Proficiency with accounting or ERP systems and Microsoft Excel
- Strong attention to detail, organization, and time-management skills
- Ability to manage multiple projects and deadlines simultaneously
- Clear and professional written and verbal communication skills
- High school diploma or equivalent required; Associate’s degree or higher preferred
Salary: $60,000.00-$70,000.00 per year
Job Type: Full-time, In-Person
We are currently only considering candidates who already live within commuting distance of our office. This role is not open to relocation and relocation assistance is not provided.
