Job Summary

We are seeking a detail-oriented and proactive Billing & Shipping Operations Executive to manage quotations, billing, and shipping activities efficiently. The ideal candidate will have a strong background in logistics, sound analytical skills, and finance knowledge to ensure cost optimization and accurate invoicing.

Key Responsibilities
1. Billing & Invoicing

• Prepare and process invoices for shipping, warehousing, and value-added services (VAS).
• Ensure accuracy of cost invoices for 3PL warehouse cargo, verifying against WMS records.
• Generate monthly storage invoices and provide detailed reports to Shipping/Logistics Coordinators.
• Upload and maintain billing-related supporting documents in the ERP system.
• Ensure timely closure of open billing jobs and dockets.

2. Quotation & Contract Management

• Prepare spot quotations and long-term contracts in CRM/ERP systems.
• Evaluate and compare quotations to ensure competitive and optimized costs.
• Maintain and update client contracts, ensuring timely renewals.
• Conduct competitor analysis to support accurate and competitive pricing.

3. MIS Reporting & Analysis

• Generate weekly and monthly MIS reports for in-process, completed, and pending jobs.
• Share analytical reports with finance, account handlers, and management.
• Track freight and transport demand; analyze trends for decision-making.
• Provide client performance and system analysis reports (monthly, quarterly, annually).

4. Cross-Functional Support

• Collaborate with finance, operations, and commercial teams for process efficiency.
• Contribute to company events and assist in preparing marketing content as needed.
• Suggest process improvements and provide commercial insights to management.

Qualifications & Skills

• Bachelor’s degree in Logistics, Commerce, Finance, or related field.
• Minimum 2-3 years of experience in logistics and shipping operations.
• Finance knowledge/background highly preferred.
• Proficiency in ERP/CRM systems, invoicing, and documentation.
• Strong skills in MS Excel and reporting tools; WMS knowledge is an advantage.
• Excellent organizational, analytical, and multitasking abilities.
• Strong communication and teamwork skills.
• Ability to work under pressure and meet deadlines.

Job Type: Full-time

Pay: AED4,000.00 - AED4,500.00 per month
