We’re expanding our team and looking for a Billing & Collections Specialist who can bring diligence and accuracy to our accounting function.

Role Description

We’re hiring a detail-oriented Billing & Collections Specialist to support our accounting team during an important stage of growth. This role is hands-on, with a strong emphasis on preparing invoices, managing accounts receivable, and following up on outstanding balances to keep cash flow healthy.

This position reports to the General Manager and works closely with operations and leadership to ensure billing is accurate, payments are collected on time, and project finances stay on track.

Key Responsibilities

Billing (70%)

• Prepare and send invoices for all projects in a timely and accurate manner.
• Review project details with operations to confirm scope and pricing before invoicing.
• Monitor accounts receivable aging and follow up on overdue accounts.
• Communicate with customers regarding billing questions, discrepancies, or payment arrangements.
• Record and apply customer payments.
• Support basic data entry and reconciliation tasks in QuickBooks Online.

Tracking & Matching (30%)

• Assist with tracking assets and inventory across projects to ensure accurate billing and cost alignment.
• Match vendor invoices against purchase orders.
• Support payroll allocations as needed.
