Bookkeeper

Position Summary:

This individual will work directly with O’Tool Industries’ Office Manager and O’Tool’s management team to maintain O’Tool’s Accounts Receivable, Accounts Payable, and Reports. The bookkeeper position is part-time; our bookkeeper will work no more than 30 hours per week, with occasional opportunities for additional hours.

Duties & Responsibilities:

Accounts Receivable and Collections

• Record and reconcile receivables in QuickBooks
• Reconcile customer accounts, ensuring their accuracy every day
• Record income, such as credit cards and ACH transfers received via email
• Send out customer statements regularly
• Keeping an eye on the Aged Receivable report to ensure that customers are not in danger of going past the 30, 60, or 90-day mark.
• Follow up on invoices that are not paid on time.
• Properly notify customers of their delinquent accounts and collect delinquent payments as soon as possible.

Accounts Payable

• Record bills received via email into QuickBooks.
• Schedule O’Tool’s outgoing checks, including checks to vendors and expense checks, keeping in mind due dates, discounts, mailing time, etc.
• Notify the office when checks are ready to be printed.

Banking

• Check and maintain O’Tool’s positive pay banking system, ensuring the weekly check registry is uploaded with the check run and daily exceptions are approved.

Reports

Daily Report

• Prepare daily reports for O'Tool's outside accountant.

Other

• Any other tasks personally assigned to you by management.

• The ability and willingness to multitask, stay calm in stressful situations, work with difficult personalities when collecting outstanding bills, look up information in manuals, work with vendors, work with O’Tool’s accountant, learn and think outside the box.
