Bookkeeper

Reports to: Director of Finance 

Department: Administration: Finance 

FLSA Status: Non-Exempt 

Location: Hybrid

Hours: Monday-Friday 8am-4pm; 40 hours per week.

Our organization provides critical services for individuals experiencing homelessness. The Bookkeeper plays a key role in supporting programs funded through government grants, foundations, and community donors.

Position Summary:

The Bookkeeper is responsible for managing the day-to-day financial transactions of the organization, with primary responsibility for Accounts Receivable (AR) and Accounts Payable (AP) functions. This role supports the financial integrity of the organization by ensuring accurate recording of transactions, timely processing of invoices and payments, and compliance with nonprofit accounting standards. Experience with Sage Intacct is required.

Key Responsibilities

Accounts Payable (AP)

  • Process vendor invoices, verify coding, and ensure proper approvals in accordance with internal controls.
  • Prepare and process weekly check runs and electronic payments.
  • Maintain vendor records, including W-9s and insurance documentation.
  • Reconcile vendor statements and resolve discrepancies.
  • Ensure expenses are properly allocated to programs and grants.
  • Assist with preparation and filing of annual 1099 forms.

Accounts Receivable (AR)

  • Prepare and issue invoices for government contracts, grants, and program services.
  • Track grant receivables and reimbursement-based funding.
  • Record and reconcile incoming payments (ACH, checks, wire transfers).
  • Monitor aging reports and follow up on outstanding balances.
  • Post donor contributions and reconcile with development records.
  • Assist with restricted revenue tracking and reporting.

Bank & Account Reconciliations

  • Perform monthly bank and credit card reconciliations.
  • Reconcile AR and AP subledgers to the general ledger.
  • Assist with month-end and year-end close processes.

Financial Reporting & Compliance

  • Maintain accurate financial records in Sage Intacct.
  • Support grant reporting and documentation requirements.
  • Assist with annual audit preparation and respond to auditor requests.
  • Ensure compliance with GAAP and nonprofit accounting standards.
  • Maintain strong internal controls and documentation procedures.

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
  • Minimum 2 years of bookkeeping experience, preferably in a nonprofit environment.
  • Demonstrated proficiency in Sage Intacct (required).
  • Strong experience in Accounts Payable and Accounts Receivable.
  • Experience with grant billing and fund accounting preferred.
  • Knowledge of GAAP and nonprofit accounting principles.
  • Proficiency in Microsoft Excel.
  • Strong attention to detail and organizational skills.
  • Ability to handle sensitive financial information with confidentiality.
  • Commitment to the mission of serving individuals experiencing homelessness.

The Successful Candidate:  

  • Must maintain a drug-free status (including THC) and be willing to submit to pre-employment and random drug and alcohol screenings in accordance with organizational policy and applicable law.
  • Demonstrates strong alignment with Advance’s mission and vision, and a commitment to serving individuals experiencing homelessness.
  • Strong time management skills with the ability to prioritize tasks and consistently meet deadlines.
  • Excellent written and verbal communication skills.
  • Solid administrative and organizational skills with strong attention to detail.
  • Ability to work independently with minimal supervision while maintaining accountability and high-performance standards.
  • Prior experience in non-profit organizations preferred

Benefits

  • Salary dependent on experience, beginning at $26/hour
