Bookkeeper and Accounts Payable Specialist

WHAT THIS ROLE ACTUALLY IS

This is a full-cycle finance role. Equal parts bookkeeper and AP specialist. You own the ledger, you own the vendor relationships, and you own the accuracy of every number that lands in front of leadership. The books and the bills are both yours every week, without exception.


You'll be the financial backbone of the organization — the person who catches errors before they compound, turns invoices around without reminders, and brings calm and clarity to month-end close. If you love clean ledgers and zero-discrepancy bank statements, this role is for you.


WHAT YOU'LL OWN

  • Accounts payable — end to end — Receive, code, review, and process vendor invoices accurately and on time. Manage vendor records, resolve discrepancies, and maintain up-to-date W-9s. This is the clearest line between your work and operational health.
  • General ledger & reconciliations — Post journal entries and adjusting entries, maintain supporting documentation, and reconcile bank statements and credit card accounts on a weekly and monthly basis.
  • Financial reporting — Prepare and deliver monthly P&L, balance sheet, and cash flow summaries to leadership. Translate numbers into something the business can actually act on.
  • Payroll & expense processing — Run bi-weekly payroll and manage employee expense reimbursements. Ensure every disbursement is accurate, documented, and on schedule.
  • Month-end & year-end close — Own the close process — accruals, prepaids, and all supporting schedules. Support the external CPA with audit prep and tax documentation.

A TYPICAL WEEK

Processing and coding incoming vendor invoices and routing for approval

Reconciling bank and credit card accounts and resolving any discrepancies

Posting journal entries and updating the general ledger

Responding to vendor payment inquiries and managing relationships

Preparing weekly cash flow and AP aging reports for leadership

Supporting payroll processing and employee reimbursement review


MUST HAVE

2–4 years of hands-on bookkeeping or accounts payable experience

Proficiency in QuickBooks Online — you use it daily, not occasionally

Strong command of Excel or Google Sheets — pivot tables, VLOOKUPs, formulas

Solid understanding of GAAP fundamentals and the full accounting cycle

Exceptional attention to detail — you catch errors that most people miss

Ability to manage multiple deadlines and work independently without hand-holding

Clear, direct communication skills for vendor and cross-team interactions


BONUS POINTS

  • Associate's or Bachelor's degree in Accounting, Finance, or Business
  • Certified Bookkeeper (CB) or Certified Public Bookkeeper (CPB) designation
  • Experience with payroll platforms — ADP, Gusto, or similar
  • Familiarity with Bill.com, Expensify, or similar AP automation tools
  • Experience supporting a CPA during tax season or an annual audit
