The Opportunity

We're hiring a Bookkeeper & Payroll Specialist who can confidently wear two hats — keeping clean QuickBooks books for our bookkeeping clients while running accurate, on-time payroll for a growing portfolio of payroll clients. This is a hands-on, high-trust role with real ownership, real client relationships, and real room to grow as ClearPalm continues to expand.

What You'll Do

Bookkeeping (QuickBooks):

  • Own a portfolio of bookkeeping clients across QuickBooks Online and QuickBooks Desktop
  • Perform bank and credit card reconciliations, AP/AR, journal entries, and monthly close
  • Produce clean, audit-ready financials and walk clients through what the numbers actually mean
  • Catch errors, ask the right questions, and keep messy books honest

Payroll (Multi-Client):

  • Process payroll for multiple clients on weekly, bi-weekly, semi-monthly, and monthly cycles
  • Onboard new payroll clients — gathering employee data, setting up deductions, verifying tax IDs
  • Manage time-clock data, PTO, garnishments, child support orders, and benefit deductions
  • Handle quarterly tax filings, year-end W-2s/1099s, and respond to agency notices
  • Be the calm, knowledgeable voice on the phone when a client has a payroll question

What We're Looking For

  • 3+ years of hands-on QuickBooks experience (Online and Desktop both strongly preferred)
  • 2+ years of payroll experience — bonus points if you've processed payroll for multiple clients in a service bureau, CPA firm, or PEO/ASO setting
  • Bilingual (English/Spanish) — many of our clients prefer to communicate in Spanish, and you'll use both languages daily
  • Comfort juggling many clients without dropping balls — strong calendars, checklists, and follow-through
  • Sharp attention to detail and a real respect for confidential information
  • Friendly, professional communication — written and on the phone
  • Problem-solver mindset: when something doesn't tie out, you dig until it does

Bonus Points For

  • Experience with Apex HCM, SwipeClock, isolved, ADP, Paychex, or Gusto
  • Familiarity with Florida payroll tax rules, workers' comp audits, and 401(k) census/funding files
  • QuickBooks ProAdvisor certification
  • Prior experience working with insurance, payroll, or accounting firms

Schedule & Location

  • Full-time, remote position
  • Monday–Friday, standard business hours (with flex during quarter-end and year-end crunch)
