Business Coordinator for Successful Entrepreneur

Job Overview
We are seeking a highly organized, proactive, and business-minded individual to provide day to day support to the CEO of a tech startup based in Mahwah,New Jersey. This role is best described as a blend of Business Coordinator, Personal Assistant, and Project Coordinator, with exposure to many areas of the business.

This position includes both business and personal support responsibilities. You will be working closely with a succesful entrepreneur who has previously built and sold his company to private equity and is now leading a new startup venture. This is a hands-on role in a fast-moving environment, ideal for someone interested in entrepreneurship, business growth, and learning how a company is built and operated.

The job would operate out of the entrepreneur's home-office environment. You would be part of a team of about 10 people which includes a mix of full-time and part-time team members across multiple countries. One SaaS product (QCard, a digital business card platform) is already in market (qcardenterprise.com), with additional products in development. The company is actively exploring ways to leverage AI across many aspects of the business. No coding or technical background is required, but an interest in learning and using AI tools (as a non-technical user) is important.

Key Responsibilities

  • Provide direct support to the CEO across both business and personal priorities
  • Coordinate projects across different areas of the business, helping to organize tasks, timelines, and follow-ups
  • Identify, and manage external resources (e.g., Upwork freelancers), ensuring they understand business goals, target audience, and messaging
  • Report results, analyze performance, and identify opportunities for improvement
  • Assist with business initiatives related to sales, growth, and operations as needed
  • Help track progress across multiple ongoing initiatives to ensure execution and accountability
  • Support customer-related and operational tasks as needed
  • Think of new ideas to help the business grow

Personal / Executive Support

  • Manage scheduling, calendar coordination, and travel arrangements
  • Handle administrative tasks such as paying bills, organizing expenses, and returning items
  • Assist with day-to-day personal and family-related logistics as needed

Qualifications

  • Bachelor’s degree or equivalent work experience preferred
  • 1–5 years of experience in a coordinator, assistant, operations, or business support role preferred
  • Strong organizational and project management skills with the ability to manage multiple priorities simultaneously
  • Highly proactive, resourceful, and comfortable working with minimal direction
  • Strong communication skills and ability to work with a variety of people
  • Business-minded with an interest in entrepreneurship, startups, and growth
  • Comfortable wearing many hats and handling both strategic and administrative tasks
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and general digital tools
  • Interest in learning and using AI tools in a business setting (no technical or coding experience required)
  • Sales or business development experience is a plus, but not required
