Responsibilities
- Oversee daily office operations, ensuring efficiency and effectiveness in all administrative tasks
- Manage schedules, including calendar management for executives and staff
- Coordinate event planning and logistics for meetings, conferences, and team-building activities
- Supervise office staff, providing training and development opportunities to enhance their skills
- Handle vendor management, including negotiating contracts and maintaining relationships with suppliers
- Maintain accurate records through bookkeeping and filing systems
- Oversee payroll processes and human resources functions, ensuring compliance with company policies
- Develop budgets and monitor expenses to ensure financial accountability
- Provide clerical support as needed, including managing multi-line phone systems and front desk duties
- Foster a positive work environment through effective team management and communication
Qualifications
- Proven experience in office management or administrative roles with a focus on medical office management preferred
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Proficiency in QuickBooks and other bookkeeping software
- Excellent communication skills, both verbal and written, with strong phone etiquette
- Experience in supervising teams and managing training & development initiatives
- Familiarity with schedule management, budgeting, vendor relations, and payroll processes
- Ability to work collaboratively in a team-oriented environment while maintaining individual accountability
