Key Responsibilities:1. System Management
- Operate and maintain the CAFM system to ensure data accuracy and functionality.
- Input, update, and manage data related to assets, spaces, maintenance schedules, and work orders.
- Support system configuration, user access control, and permissions management.
- Coordinate with IT or software vendors for system updates, troubleshooting, and upgrades.
2. Work Order & Maintenance Management
- Create, assign, and track work orders for planned and reactive maintenance tasks.
- Ensure all maintenance requests are logged and closed within agreed Service Level Agreements (SLAs).
- Monitor preventive maintenance schedules and generate reports on task completion.
- Liaise with engineers, contractors, and supervisors to ensure timely execution of work.
3. Reporting & Data Analysis
- Generate and distribute regular reports on asset performance, maintenance trends, and resource utilization.
- Analyze CAFM data to identify inefficiencies and suggest improvements.
- Maintain and archive documentation, drawings, and equipment records within the system.
4. Space & Asset Management
- Update and maintain accurate floor plans, asset registers, and space utilization data.
- Support facility audits and verification of asset and equipment inventory.
- Assist in tracking energy consumption, compliance, and safety inspections.
5. User Support & Training
- Provide CAFM system training and support to internal teams and contractors.
- Respond to user queries and provide technical support related to the system.
- Help develop user guides and process documentation.
Skills & Qualifications:
Essential:
- Diploma or bachelor’s degree in Facilities Management, Engineering, Information Technology, or a related field.
- Proven experience in using CAFM systems (e.g., Planon, Archibus, Concept Evolution, Maximo, etc.).
- Strong computer literacy (Excel, MS Office, AutoCAD familiarity preferred).
- Excellent attention to detail and data accuracy.
- Strong organizational and communication skills.
Desirable:
- Knowledge of facilities management processes, maintenance scheduling, and asset management.
- Experience with reporting tools or database management.
- Familiarity with building management systems (BMS) and IoT integration.
