Care Coordinator/Administrator

We are seeking a highly organised and proactive Care Coordinator/Administrator on a part time basis to join our team. The successful candidate will play a vital role in ensuring the smooth day to day operations of our office environment, they will Coordinate care services efficiently, ensuring service users receive high quality, person centred care while supporting the administrative and marketing function of the organisation. This position offers an excellent opportunity for individuals who have experience working as a support worker, a keen eye for detail and strong administrative skill to contribute to a professional and efficient workplace. The role involves handling various administrative tasks, managing communication channels, and supporting both clients and staff with organisational needs.

Responsibilities

  • Organise and maintain client care schedules, ensuring timely and efficient service delivery
  • Liaise with clients, family members, and care staff to coordinate appointments and address any concerns
  • Maintain accurate and up-to-date client records in accordance with data protection regulations
  • Assist with recruitment activities, onboarding new clients and carers, including documentation and initial assessments
  • Handle incoming enquiries via phone or email, providing professional and compassionate support
  • Support the management team with administrative tasks such as filing, report preparation, and correspondence
  • Ensure compliance with company policies and relevant health and safety standards
  • Managing incoming calls with professional phone etiquette and directing enquiries appropriately
  • Organising and maintaining files, records, and documentation in both physical and digital formats
  • Work closely with registered manager to maintain quality srandard
  • Performing data entry tasks accurately
  • Assisting with scheduling appointments, meetings, and maintaining calendars for team members
  • Assist with invoice preparation and timesheet reconciliation
  • Preparing correspondence, reports, and presentations as required
  • Coordinating office supplies procurement and inventory management
  • Providing general administrative support to ensure operational efficiency
  • Monitor service delivery and respond to issues promptly
  • Handling mail distribution and courier arrangements

Essential

  • Experience within domiciliary care, supported living or healthcare services
  • Good understanding of person centred care
  • Full UK drivers license and access to a vehicle
  • Good phone etiquette with clear communication skills

Skills

  • Proficiency in computer skills
  • Excellent data entry skills with high accuracy and attention to detail
  • Proficiency in English required, both oral and written
  • Exceptional organisational abilities to manage multiple tasks simultaneously
  • Ability to work independently as well as part of a team in a fast-paced environment
