Job Summary/Purpose:
Monitor vehicle replacements and movements for RAC customers to achieve specified objectives and ensure exceptional customer satisfaction.

1. Receive customers for scheduled services, initiate job cards, and address customer inquiries and concerns in an efficient and courteous manner.
2. Notify customers about periodic maintenance when rental vehicles need scheduled maintenance.
3. Process vehicle replacement requests, verify supporting documentation, and initiate vehicle movements within the RAC system, ensuring full compliance with RAC policies and procedures.
4. Collaborate with the Fleet Team to ensure replacement vehicles are available and maintain appropriate vehicle stock levels and records.
5. Receive returned vehicles from customers, inspect vehicles' condition, report issues, and/or collect payments for damages/misuse.
6. Collaborate with the maintenance team to ensure that replacement vehicles are regularly serviced, repaired, clean, and maintained in good condition for immediate use.
7. Coordinate the transfer of vehicles between RAC locations in line with sales requirements.
8. Maintain up-to-date records of vehicle status, rental agreements, fuel usage and mileage.
9. Deliver the vehicle to the customer on completion of periodic maintenance, inform customers promptly when their vehicles are ready for collection or notify them of any delays.
10. Provide replacement vehicles for service customers if the service period is more than 2 hours.
11. Prepare daily report of vehicles movement and fleet utilization, submit to Line Manager and escalate any issues of defaulted customers.
People Management:
1. Assign duties and examine work for accuracy, neatness, and compliance to policies and procedures.
2. Check employee attendance and report absence and attendance exceptions, prepare annual leave plan for employees and overtime sheets on SAP HCM for management approval.
3. Explain and advise staff on Group policy and quality standards and ensure adherence to health and safety standards.
4. Provide on the job training and coaching to staff and provide information and necessary material to staff to carry out the jobs.
5. Receive grievances raised by subordinates and promptly escalate such grievances to management
Prepare periodic and ad hoc reports and presentations.
Document and maintain records of activities and process workflows on internal communication portals.
Adhere to Al-Sayer Group policies and health and safety regulations.
Perform other duties as requested by management.
