At Demas & Co, the CEO Assistant plays a crucial role in supporting the Chief Executive Officer by expertly managing daily schedules, travel plans, and communication channels. This role demands a highly organized individual who can handle confidential information with utmost discretion and professionalism. You act as the primary liaison for the CEO, ensuring efficient coordination of meetings, preparing reports and presentations, and supporting the CEO in maintaining seamless operations across the company. Though this position does not involve managing a team, it requires close collaboration with multiple departments and external stakeholders to ensure alignment and smooth workflow throughout the organization.
The ideal candidate possesses strong skills in calendar management, travel coordination, communication management, and document handling. Proficiency with digital tools such as Slack, Zoom, Google Meet, and Microsoft PowerPoint is essential. This role requires a proactive approach to organizing company initiatives, monitoring operational activities, and facilitating clear communication between the CEO and internal teams. With a minimum of two years of relevant experience, the CEO Assistant must be adaptable, detail-oriented, and capable of multitasking to contribute effectively to the companys leadership and administrative demands.
Responsibilities

Act as the main point of contact for the CEO by managing daily schedules, appointments, and travel arrangements efficiently and proactively.

Handle sensitive and confidential information with discretion and maintain a high level of professionalism at all times.

Prepare, edit, and organize reports, business presentations, and various documents to support the CEOs needs in meetings and briefings.

Coordinate and oversee daily business operations by collaborating with different departments to ensure smooth workflows and timely execution of tasks.

Assist in planning and organizing company projects and initiatives, tracking progress, and reporting outcomes to the CEO to aid in strategic decision making.

Monitor key operational activities and provide regular and accurate updates to the CEO, enabling informed management and leadership.

Draft, review, and manage internal and external business communications, fostering positive relationships with stakeholders, clients, and partners on behalf of the CEO.

Facilitate clear, prompt, and effective communication between the CEO and various teams to ensure all critical information and instructions are accurately conveyed.

Manage important business records such as contracts, reports, and correspondence, ensuring they are well-organized and easily accessible.

Handle incoming emails, phone calls, and other correspondence for the CEO, prioritizing and responding as needed to maintain efficient communication lines.

Oversee office administration tasks including procurement and resource management to maintain an efficient and organized work environment.

Utilize technology tools such as Slack for workspace management, video conferencing platforms like Zoom and Google Meet for scheduling and conducting meetings, and expense reporting tools to track and manage costs related to the CEOs activities.

Maintain scheduling accuracy when arranging meetings using Google Meet scheduling tools and ensure all logistics for in-person and virtual meetings are well coordinated.

Demonstrate strong presentation skills by creating and formatting PowerPoint decks that effectively communicate strategic insights and business updates.

Support the CEO in managing time effectively by prioritizing tasks, anticipating needs, and reducing scheduling conflicts to maximize productivity.
