Responsibilities:
- Handle the office main board, answer and screen incoming calls and transfer to appropriate staff members.
- Attending to walk in customers and guest.
- Responsible for meeting room bookings and coordination with I.T. department whenever assistance is needed.
- Sending and receiving couriers, daily courier manifest, personal couriers and checking and submission of monthly invoices for TNT postage accounts.
- Apply gate pass for candidates, guests and training. Managing JAFZA portal for any approval requests.
- Calendar management, including scheduling appointments. Setup and coordinate meetings   internal and external.
- Support in coordinating logistics for Trainings / Office Events: i.e.  Employee, Out-Station Based Employees, Customer and Product Trainings. Assisting in sending invites & tracking attendance, coordinating with other teams involved, security passes and other requirements needed.
- Helping with special projects such as internal conferences, events and meetings as when requested by the commercial team. (Big5, Partners & Dealers Meet, Marketing Activation)
- Responsible for the end-to-end Travel Arrangements for the following:
Leadership Team Outstation employees Customers (for events)
Arrange and coordinate travel arrangements   i.e. flight bookings. Visa requirements, hotel accommodation and ground transfers.
- Preparing & Issuing Commercial Distribution Letters and all necessary letters that the customer will require.
- Leading the yearly Commercial Agreements for all the MEA customers.
- Processing all business card requests of SBD employees.
- Support in getting invitation letters from other countries if required.
