Contracting and Tour Assistant (Travel & Tourism Company)

1. Key Responsibilities1. Tour Coordination & Operations

  • Assist in organizing and operating Group and FIT tours as per confirmed itineraries.
  • Coordinate logistics including transportation, hotel bookings, activities, and tour guides.
  • Monitor daily tour activities and ensure all arrangements are executed smoothly.
  • Support in resolving minor operational issues to maintain service quality.

2. Guest Service & Communication

  • Assist guests during arrival, departure, and throughout their stay when assigned.
  • Respond to guest inquiries professionally and promptly.
  • Support tour leaders and guides by ensuring they have accurate information and timely updates.
  • Maintain a high standard of customer service throughout the guest journey.

3. Administrative Support

  • Assist in data entry, filing, and maintaining operational reports.
  • Prepare tour expense reports and support reconciliation of invoices with the finance team.
  • Maintain accurate and up-to-date tour files and records.
  • Support the Operations Manager with daily administrative and logistical tasks.

4. Coordination with Internal Teams

  • Communicate with sales, reservations, and accounts teams to ensure smooth tour operations.
  • Provide operational feedback to improve service efficiency and quality.
  • Prepare tour documents such as vouchers, itineraries, guest lists, and name tags.
  • Coordinate with hotels, transport providers, guides, and activity suppliers for confirmations and updates.

Qualifications & Requirements

  • Bachelor’s Degree in Tourism, Hospitality Management, or related field (preferred).
  • 0–2 years of experience in tourism, travel, or hospitality (fresh graduates welcome).
  • Basic knowledge of tour operations and travel logistics.
  • Excellent communication skills in English (other languages are a plus).
  • Proficient in MS Office (Excel, Word, Outlook).
  • Strong organizational skills and attention to detail.
  • Positive attitude, team player, and willingness to learn.
  • Ability to work flexible hours during peak seasons.
