POSITION PURPOSE:

The Coordinator, Recruiting Operations provides administrative support across key talent acquisition activities and serves as the primary point of contact for candidates throughout the pre-employment process. This role is responsible for scheduling interviews, arranging travel, initiating onboarding steps, and ensuring candidates receive timely, accurate communication. The coordinator works closely with recruiters, hiring managers, and other HR functions to ensure a seamless experience.

JOB DIMENSIONS:

Supervisory Responsibility — None.

Budget Responsibility — None

PRINCIPAL ACCOUNTABILITIES:

  • Serve as the main liaison to candidates during the onboarding process, providing timely updates and assistance from offer acceptance through Day One.
  • Schedule interviews, assessments, and travel arrangements for external candidates in coordination with recruiters and hiring managers.
  • Initiate and track completion of background checks, new hire forms, and pre-employment requirements.
  • Ensure accuracy and completion of candidate documentation prior to onboarding.
  • Collaborate with Recruiting Operations Specialists for coordination of relocation, veteran preference, and creditable service documentation, when applicable.
  • Maintain detailed records and track candidate status in the applicant tracking system (ATS) and other HR tools.
  • Respond to candidate inquiries promptly and professionally, escalating complex issues when needed.
  • Ensure that candidates are prepared for start dates and that internal teams have the necessary documentation.
  • Coordinate with internal teams including HR Technology, Compensation, Employee Relations, and T&I to ensure all onboarding steps are completed accurately and on time.
  • Assist with ongoing improvement of onboarding workflows and candidate experience processes.
  • Other duties as assigned.

MINIMUM REQUIREMENTS:

Education – Associate’s degree in Human Resources, Business, related field, or equivalent experience.

Experience – Minimum 2 years of experience in administrative support roles, preferably in recruiting, onboarding, or shared services.

Certification/License, etc — N/A

Knowledge/Skills/Abilities — Exceptional organizational and time management skills with strong attention to detail. Clear and professional verbal and written communication. Customer service mindset with a focus on creating a positive candidate experience. Ability to manage multiple priorities and deadlines in a fast-paced environment.
