The Custom Clearing Executive is responsible for ensuring smooth and timely clearance of import and export shipments by coordinating with customs authorities, freight forwarders, transporters, and internal teams. The role involves preparing and verifying documentation, monitoring shipment status, and ensuring compliance with customs regulations.
Key Responsibilities1. Documentation & Compliance
- Prepare, verify, and submit documents required for import/export clearance (Invoices, Packing Lists, Bill of Entry, Shipping Instructions, COO, etc.).
- Ensure compliance with customs regulations, DGFT policies, ICEGATE procedures, and other statutory requirements.
- Coordinate with CHA (Custom House Agents) for timely filing and clearance.
2. Shipment Coordination
- Track and monitor shipments from arrival to clearance and delivery.
- Communicate with shipping lines, freight forwarders, transporters, and warehouse teams.
- Ensure timely payment of duties, port charges, demurrage, and handling fees.
3. Liaison & Communication
- Liaise with Customs, Port Authorities, and related regulatory bodies to resolve queries or issues.
- Act as a point of contact between internal departments (Finance, Procurement, Warehouse) and external agencies.
4. Record Keeping & Reporting
- Maintain updated records of all cleared shipments and documentation.
- Prepare daily/weekly/monthly status reports for management.
- Maintain accurate duty calculations and documentation for audits.
5. Problem Handling
- Handle discrepancies in documents, shipment delays, or customs objections.
- Resolve issues related to classification, valuation, HS codes, and duty assessments.
Required Qualifications & SkillsEducation
- Graduate (preferably in Commerce, Logistics, Supply Chain, or related fields).
- Certification in logistics, export-import management, or customs clearance is an advantage.
Experience
- Fresh–3 years of experience in customs clearance for import/export operations.
- Knowledge of CHA operations, ICEGATE, DGFT policies, and port procedures.
Skills
- Good understanding of HS codes, duty structures, customs notifications.
- Strong communication and coordination abilities.
- Proficiency in MS Office; experience with ERP systems preferred.
- Ability to work under pressure and meet tight deadlines.
