Data Entry Clerk

Primary Responsibilities:

- Bridge the sales staff and warehouse staff by generating price quotes and processing sales into shop orders.

- Organize incoming orders by relevance and importance, prioritizing and communicating to warehouse staff if an order needs to be completed or shipped urgently.

- Process purchases made by staff into purchase orders, as well as overseeing purchase order confirmations.

- Be attentive to and answer the office phone when reception staff is unable to.

- Send confirmations of sales to customers daily.

Secondary Responsibilities:

- Assist when other administrative staff are unable to complete their tasks, which includes but is not limited to: walk-in tickets, back orders and any research to resolve issues.

- Process sales for sister companies.

- Manage certificates of insurance and coordinate renewals with insurance representatives.

- Be flexible and adaptable, helping to solve various office issues as they arise.

Flexibility: This position’s workload is fluid and depends on what and how many sales are being made. Some days will be slow, and some days will be busy. Adapting to the ebb and flow of demand is paramount. Additionally, different customers call for different procedures leading to adjustments to fit each customer’s requirements.

- Organization:Prioritizing tasks that need to be done sooner, and making sure everything gets the attention it needs and ends up in the right hands is necessary to avoid delays or any potential issues

Attention to Detail: When entering price quotes, purchase orders, or handwritten orders into sales orders, it is essential to not forgo accuracy for the sake of speed. Inaccurate order entry can cause delays, incorrect measurements or ship to addresses leading to upset customers and/or additional costs.

- Personability: The order entry position is situated in the hub of the office. Other employees, customers or vendors will enter the office for meetings. Customer service skills are important whether on the phone or in person.)

Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a data entry or administrative role preferred.
  • Proficiency in Microsoft Office.
  • Fast and accurate typing skills.
  • Excellent attention to detail and organizational skills.
  • Strong communication skills.
  • Ability to work independently and meet deadlines.

Job Type: Full-time

Pay: $20.00 - $24.00 per hour
