Responsibilities

- Diligent, detail-obsessed data entry professional trusted to keep records clean, accurate, and confidential in fast-paced administrative environments

- Impeccable command of data accuracy standards, document validation, prioritization, and integrity across high-volume databases

- Skilled in data entry, record maintenance, document review, discrepancy resolution, file purging, and multi-system reconciliation

- Technically fluent in Microsoft Excel, Word, Outlook, keyboarding, transcription, bookkeeping support, and basic system testing

- Proven ability to identify errors quickly, correct inconsistencies, and ensure reliable data for downstream teams and reporting

- Reliable, discreet, highly focused, and methodical; recognized for consistency, follow-through, and strong team support

- Resides near Los Angeles, California, starting pay - $ 19 – 22 per hour.

KEY FUNCTIONS

  • Answer calls and route them accordingly
  • Create new service tickets based on customer requirements
  • Update tickets in Promys system as technicians bring them back from their service calls
  • Manage and remind technicians schedules
  • Order parts and products as needed for service tickets
  • Close service tickets & purchasing orders accurately and turn in to accounting department.
  • Track and manage all the purchase orders of the department
  • Type correspondence, letters, forms, Excel spreadsheets and reports
  • Provide routine support, including: making travel arrangements, maintaining and creating files, distributing various reports and correspondence, arranging meetings and technicians schedule
  • Support and participate in special projects as required
  • Provide back‐up to other members of administrative support team.

Qualifications

BASIC QUALIFICATIONS

· High School Diploma or equivalent
· Experience in Microsoft Office applications including Word, PowerPoint, and Excel
· Typing and proofreading skills
· Technical aptitude to learn technology related products

REQUIRED QUALIFICATIONS

  • High School, GED, or equivalent vocational training
  • Microsoft Office skills including Word documents, tables and mail merge, Excel spreadsheets, tables, graphs, formulas and pivot tables, PowerPoint presentations with animation and audio
  • Demonstrated abilities relative to dependability, punctuality, attention to detail and work accuracy
  • Demonstrated ability to set priorities and to remain flexible with assignments
  • Demonstrated ability to work in a fast‐paced environment and to complete tasks on short deadlines
  • Demonstrated initiative to manage project and/or task assignments
  • Strong proofreading and editing skills
  • Problem‐solving skills to answer customers’ technical questions
  • Strong verbal communication skills
  • An effective team player, must have ability to work well with others in a professional environment
  • Strong interpersonal skills to positively interact with internal and external customers
  • Desire to learn new practices or software applications to maintain currency

PREFERRED QUALIFICATIONS

  • Knowledge of corporate policies, practices, travel and procurement
  • Experience working with service ticketing software

PHYSICAL REQUIREMENTS/WORK ENVIRONMENTS

  • Ability to sit or stand for extended periods of time.
  • Ability to use a computer to complete assignments.
  • Ability to communicate with individuals and groups in person, and by phone
  • While performing the duties of this job, the employee will typically work in an office environment.
  • Some lifting may be required.
