Role Summary
The Admin Document Controller (Piping Fabrication) is responsible for managing administrative and technical documentation in a piping fabrication workshop. This role ensures proper control of fabrication documents, workshop records, and administrative files while supporting daily operations, coordination, and compliance requirements.
Key Responsibilities1. Document Control – Fabrication & Technical
- Maintain and control all workshop-related documents, including:
- Isometric drawings, spool drawings, GA drawings
- Material Take-Offs (MTO)
- Welding logs/Weld maps
- Material traceability records (Heat numbers, MTCs)
- NDT reports (RT, UT, PT, MT)
- WPS, PQR, welder qualifications
- Track revisions of IFC drawings and ensure the workshop uses only latest revisions.
- Maintain updated drawing registers and spool status logs.
2. Administrative Documentation
- Manage workshop administrative documents including:
- Attendance sheets
- Daily production reports (DPR)
- Timesheets / overtime sheets
- Equipment & tool registers
- Material request forms and delivery notes
- Prepare and maintain correspondence, reports, memos, and internal communication.
3. Coordination & Communication
- Coordinate with engineering, QA/QC, planning, procurement, and workshop supervisors for document updates.
- Follow up on pending approvals, reports, or documentation from various departments.
- Assist in preparing documentation required for clients, auditors, and inspectors.
4. Documentation Systems
- Maintain both electronic and physical filing systems for fabrication and admin documents.
- Upload and update documents in DMS (Aconex, SharePoint, or internal EDMS).
- Ensure proper indexing, sorting, and archiving of workshop documents.
5. Quality & Compliance
- Ensure all fabrication documents follow project specifications and industry standards (ASME, API, ISO).
- Assist QA/QC with preparation of welding documentation packages, test packs, and client handover dossiers.
- Maintain confidentiality and secure handling of sensitive technical documents.
Key Skills & Competencies
- Strong knowledge of piping fabrication documentation
- Familiarity with workshop processes (fabrication, welding, NDT, testing)
- Ability to read/interpret basic engineering drawings (isometrics/piping diagrams)
- Excellent organizational and filing skills
- Proficiency in MS Office (Excel, Word, PowerPoint)
- Experience with DMS (SharePoint, Aconex, EDMS)
- Effective communication and coordination skills
- Strong attention to detail and accuracy
Qualifications
- Diploma or Bachelor's degree in Administration, Mechanical Engineering, or related field.
- 2–5 years of experience as Admin DC in a piping fabrication workshop (preferred).
- Knowledge of ASME B31.3, piping materials, welding documentation, and fabrication workflow is a strong advantage.
- Strong administrative and record-keeping background.
