DEPUTY CLERK III – VACANCY $16.50 Per Hour
General Description of Position: This is a full time, work from the office only position. One of the essential functions of a deputy clerk is to assist judges, a variety of agencies, attorneys and customers on a regular basis. This assistance is provided in person, on the telephone and via email. This position performs a variety of wide-ranging clerical duties within an assigned area of responsibility and works according to set departmental rules and procedures. Work product for this area includes attending court as support staff and taking notes relating to court proceedings. Additionally, the deputy clerk is responsible for processing all court documents relating to court cases accurately; loading and entering new court cases into the case management system; safely maintaining all records; drafting and sending out correspondence; answering general and case specific questions for coworkers, internal and external customers and a variety of agencies. Accountable for assisting the Clerk of the Circuit Court and Comptroller in achieving the objectives of the organization. Deputy Clerks report directly to the departmental supervisor who answers directly to the Clerk of Courts. Both deputy clerk and supervisor must follow the Clerk's standard operating procedures and policies.
Minimum Experience, Requirements and Abilities
· At least six months of continuous and relevant work experience that is closely comparable to that of a deputy clerk working in a Clerk of Courts Office, or 2 years minimum of extensive clerical duties.
· Customer Service – 1 year minimum.
· Typing skills - At least 35 CWPM (Prefer at least 50 CWPM).
· Record processing and handling (Prefer confidential and sensitive record handling).
· Electronic File Management of cases or charts.
· Computer literate – Proficient in Word, Excel and Outlook.
· Correct use of grammar and punctuation using the English language to compose correspondence and other documents.
· Excellent reading, written and oral communications using the English language to carry out the sundry of responsibilities for this position.
· Strong attention to detail and accuracy.
· Work under levels of high stress while multitasking and producing accurate work.
· Interacting with coworkers, agencies and the public in a professional demeanor that is efficient, positive and polite.
· Dealing with problematic customers in an impromptu and often emotional situations.
· Sit and/or stand for extended periods of time, while concentrating on repetitious or complex tasks.
· Moving regularly from a sitting to a standing and walking position.
· Gaze into a computer screen the majority of the work day.
· Considerable skill, adeptness, and speed in use of fingers, hands or limbs is also required to perform the duties of this position.
· Push and/or pull 25 pounds of weight, and be able to stretch, bend and reach on regular basis.
· Visual perception and differentiation in order to carry out the responsibilities of this position.
· High School Diploma/or Equivalent.
· Valid Drivers' license and have reliable transportation.
· Pass a drug screening test and be able to comply with the Drug Free Policy of this office.
· Have a background investigation (criminal record and driving record) prior to employment.
WORK SCHEDULE: Monday – Friday 8-5 and Occasional Overtime
PAY: $16.50 per hour – increase of .50 at end of successful probation
