Summary
WFSS is seeking a Development Coordinator (part-time) to support fundraising and donor engagement efforts, working closely with the Director of Development & Communications. This role ensures smooth execution of annual campaigns, coordinates donor stewardship and communications, and maintains accurate data and reporting in Salesforce. The Coordinator also assists with prospect identification, contributes to donor-facing content, and represents the organization in select external engagements. The ideal candidate is detail-oriented, organized and committed to delivering excellent donor experiences.
Campaign and Fundraising Support (40%)
· Support the execution of fundraising campaigns (e.g., Iron Giraffe Challenge, annual appeals) by responding to donor inquiries, tracking incoming donations, and managing prize fulfillment
· Coordinate fundraising appeal and campaign setup in Salesforce and GiveLively
· Handle printing and mailing logistics for appeals and stewardship materials
· Support donor segmentation and implementation of touchpoints and recognition
· Administer content and reporting for external fundraising platforms and nonprofit rating sites
Donor Relations and Stewardship (25%)
· Ensure consistent and timely donor acknowledgement and sponsorship communication (drafting templated language as needed, with guidance from the Director of Development & Communications)
· Track upcoming stewardship touchpoints (e.g., anniversaries, renewal dates, reporting deadlines) and flag follow-up actions
· Present virtually and in-person (locally) to schools and student-focused groups
Data and Reporting (20%)
· Manage donor data entry, reporting, and list management in Salesforce, ensuring data integrity, accuracy, and consistency across all donor records
· Support ongoing CRM improvements and documentation of internal data management processes
Event Coordination and Internal Collaboration (10%)
· Coordinate logistics for virtual and in-person fundraising events, including scheduling, materials preparation, and attendee communication
· Support coordination and information flow between development, communications, and program teams (particularly in relation to school outreach and donor communications)
Prospect Identification and Research (5%)
· Conduct light background research on prospective donors, foundations, or school partners (e.g., mission alignment, basic contact information, public giving history)
· Maintain and update prospect tracking information in collaboration with the Director of Development & Communications
Qualifications
· 3–5 years of experience in a fundraising or development support role; nonprofit experience a plus
· Experience collaborating across teams (e.g. development and communications, finance, and programs) to achieve shared goals
· Experience in an externally facing role, representing the organization’s mission and values with donors, partners, and community stakeholders
· Familiarity with CRM systems and data management; Salesforce experience preferred
· Prior experience managing donor acknowledgements and mailings with accuracy and timeliness
· Prior background in event coordination (virtual or in-person)
