Job Summary
The Dispatch Coordinator is responsible for ensuring on-time, in-full (OTIF) delivery performance and
flawless documentation across all transportation activities. This role serves as the central hub between
Customer Service, Sales, Warehouse/Post-Production, and Drivers, ensuring clear communication,
proactive issue resolution, and continuous improvement in delivery performance and cost control.
Key Responsibilities
Delivery Monitoring & Communication
- Proactively track and monitor shipments in real time; identify at-risk deliveries and implement
recovery actions.
- Communicate accurate ETAs and exceptions to Sales Representatives and key stakeholders.
OTIF & KPI Management
- Support the OTIF program by documenting delivery failures and maintaining accurate data for
reporting.
- Publish performance dashboards and analyze trends; recommend process improvements.
Warehouse, Carrier & Driver Coordination
- Align shipment readiness, pick-ups, and delivery appointments between warehouse and
transportation teams.
- Investigate carrier or route issues; propose routing guide updates to improve service and reduce
dwell time.
Customer & Lane Requirements• Maintain detailed customer and lane-level delivery requirements (e.g., dock windows, labeling,
access, or security protocols).
Compliance & Documentation
- Ensure 100% accuracy of manifests, sales orders, chain-of-custody, and temperature logs.
- Support compliance with all state and federal regulatory requirements (e.g., IDFPR, IDOA,
METRC where applicable).
Visibility & Systems Hygiene
- Ensure carrier compliance with tracking and data visibility tools (EDI, TMS, etc.).
- Reconcile delivery documentation by route, date, and store.
Cost Control & Exception Management
- Monitor cost per stop, utilization, and dwell time; manage and approve accessories per policy.
- Coordinate OS&D (overages, shortages, damages), returns, re-labels, and re-deliveries to
resolution within SLA.
Cross-Training & Coverage
- Provide operational coverage across dispatch and transport functions as needed.
- Contribute to the creation and maintenance of SOPs and training materials.
Qualifications
Required
- High school diploma or equivalent.
- 3+ years of experience in transportation, dispatch, or logistics (or military equivalent).
- Strong knowledge of transportation operations and appointment scheduling.
- Proficiency with Microsoft Office Suite (Excel, Outlook, Word) and ERP systems (Dynamics 365
or similar).
- Excellent communication skills and ability to manage multiple priorities.
- Must be able to lift or move up to approximately 40 lbs.
- Valid driver’s license and eligibility for required state background checks.
Preferred
- Bachelor’s degree in Logistics, Business, or equivalent experience.
- Experience in regulated goods environments (pharmaceutical, food, etc.) and familiarity with
METRC.
- Working knowledge of TMS and visibility tools (e.g., Route Manager, FourKites, Project44).
