Dispatch Officer

Job Summary

We are looking for a detail-oriented Dispatch Officer to manage and coordinate the dispatch of finished goods from the manufacturing facility to customers and warehouses. The role requires strong experience in manufacturing operations, logistics coordination, and advanced Excel skills for reporting, tracking shipments, and inventory management.

Key Responsibilities

• Coordinate daily dispatch activities and ensure timely delivery of finished goods to customers.
• Prepare dispatch documentation including delivery notes, invoices, packing lists, and transport documents.
• Coordinate with production, warehouse, and logistics teams to ensure product availability and shipment schedules.
• Monitor and track shipments to ensure on-time delivery.
• Maintain accurate dispatch records and update shipment details in the system.
• Prepare daily, weekly, and monthly dispatch reports using advanced Excel.
• Manage transport arrangements and coordinate with freight forwarders and drivers.
• Ensure compliance with company policies, safety standards, and documentation procedures.
• Handle customer inquiries related to delivery status and dispatch schedules.
• Identify opportunities to improve dispatch and logistics processes.

Qualifications

• Bachelor’s degree or Diploma in Logistics, Supply Chain, Business Administration, or related field.
• Advanced knowledge of Microsoft Excel (Pivot Tables, VLOOKUP, reporting, data analysis).
• Strong organizational and communication skills.
• Ability to work under pressure and manage multiple shipments.

Experience

• 3–5 years of experience in dispatch or logistics within a manufacturing company.
