The Role
This opportunity is with a construction company based in UAE. Responsibilities: Document Management System: • Establish and maintain a robust document control system (DCS) to ensure all documentation is accurate, current, and correctly distributed. • Processing & Registration: Receive, register, and distribute all incoming and outgoing documents and correspondence within the assigned office. • Quality & Compliance: Ensure the timely and accurate filing of all documents and drawings in compliance with ISO procedures and maintain the electronic filing system to be as up-to-date as possible. • Submission Support: Assist the department team in the preparation of submissions, including compiling and organizing necessary drawings and samples. • Reporting & Translation: Support team members in establishing and updating reports and translate documents or correspondence for the Department Manager when required. Skills: • Must be able to maintain a tracking facility to enable documents to be located & updated easily. • Scanning, printing & copying all relevant documents. • Confirming document packs are correct before dispatch. Competencies: • Must be well organized & be able to plan & prioritize their work. • Must be detail oriented & ensure accuracy in all aspects of the work. • Must be competent in issuing & distributing controlled copies of information. • Must be able to maintain a proper document control system. Measurement • Accurate & detailed filing system. • Timely issuance of documents. • Timely provision of accurate reports on documentation. • Positive reports resulting from ISO reviews. • Staff Feedback

Requirements
Experience / Knowledge • 3 to 5 years’ relevant experience is preferred. • Knowledge & experience with professional document control software & procedures is essential. Education / Qualifications • Post-Secondary Diploma or professional certificate in administration is preferred. • The job holder is required to complete internal training. Technical Skills • Strong IT, Database skills are required. • Experience with document control packages such as ACONEX/DRPRO is necessary. • Able to utilize MS Office software including spreadsheets & databases is a must.
