Document Controller

Role Overview

The Document Controller is responsible for establishing, maintaining, and managing the project’s document control system to ensure accurate, timely, and secure handling of all project documentation. The role supports project teams by ensuring proper document flow, version control, compliance, and accessibility throughout the project lifecycle.

Your Job Functions (Duties & Responsibilities)

Document Control System

  • Establish and maintain a centralized document control system for all project-related documentation.
  • Develop, implement, and monitor document control procedures, standards, and workflows.

Document Management

  • Receive, register, track, and distribute incoming and outgoing project documents.
  • Ensure proper version control, document numbering, and naming conventions are followed.

Organizing and Filing

  • Organize, classify, and archive documents in a structured and easily retrievable manner.
  • Maintain both electronic and physical filing systems in line with project requirements.

Quality Assurance

  • Perform regular checks to ensure documents are accurate, complete, and compliant with project standards.
  • Coordinate with project teams to resolve document discrepancies and non-conformities.

Access Control

  • Manage document access rights and permissions to ensure confidentiality and controlled distribution.
  • Monitor document access, revisions, and audit trails.

Coordination & Collaboration

  • Work closely with project managers, engineers, consultants, contractors, and other stakeholders to understand document requirements.
  • Facilitate efficient document exchange between internal teams and external parties.

Document Retrieval & Audits

  • Ensure timely retrieval of documents for project needs, reviews, and external audits.
  • Maintain an efficient document tracking and retrieval system.

Training & Support

  • Provide guidance and training to project team members on document control systems and procedures.
  • Offer ongoing support on document-related matters.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or a related discipline.
  • Proven experience as a Document Controller, preferably within the energy, utilities, or infrastructure sector.
  • Experience using document control systems and software.
  • Strong organizational and time-management skills.
  • High attention to detail and accuracy.
  • Proficient in document control systems and Microsoft Office applications.
  • Effective communication and interpersonal skills.
