Job Summary

The Document Controller is responsible for managing, controlling, and maintaining project documentation to ensure accurate and timely distribution of information across the organization and project stakeholders. The role ensures that all project documents are properly registered, stored, tracked, and archived in accordance with company procedures and project requirements.

The Document Controller is responsible for maintaining document integrity, confidentiality, and version control through the company’s centralized systems, including Microsoft SharePoint and Oracle Aconex. The role includes submitting, tracking, and updating project documents such as drawings, plans, RFIs, WIRs, and project reports while ensuring compliance with project documentation standards.

Job Functions

Document Control / Project Documentation Management


Duties & Responsibilities :

  • Prepare and maintain document and drawing submittal logs in accordance with contract requirements and ensure they are regularly updated throughout the project lifecycle.
  • Manage and maintain the company’s centralized document management system (Microsoft SharePoint) for all project correspondence, submittals, and documentation.
  • Submit and track project documents and drawings accurately and on time using Oracle Aconex.
  • Ensure proper document version control, numbering, coding, and filing in compliance with company procedures and project standards.
  • Maintain and enforce document control policies and procedures for both internal and external documentation.
  • Ensure confidentiality and secure handling of sensitive documents, agreements, and project information.
  • Establish and maintain a document distribution matrix for controlled document circulation among project stakeholders.
  • Log and track all project documentation including correspondence, drawings, procedures, standards, specifications, purchase orders, agreements, variations, data sheets, and manuals.
  • Generate internal and external transmittals for document distribution and tracking.
  • Support project teams by maintaining accurate document records and ensuring accessibility when required.
  • Prepare periodic document control reports and support project reporting requirements.
  • Perform day-to-day document control activities, including document registration, filing, tracking, and data entry updates.


Requirements

  • Bachelor’s degree in Business Administration, Engineering, Information Management, or a related field is preferred.
  • 5–10 years of experience in Document Control with minimum 3 years of experience in a similar role within large construction, infrastructure, or EPC companies.
  • Proven experience working on mega-project environments within Saudi Arabia or GCC.
  • Arabic Speaker with excellent in English (written and verbal) is required.
  • Strong experience using Oracle Aconex, Microsoft SharePoint, EDMS, and Procore.
  • Proficiency in Microsoft Excel, Microsoft Word, Microsoft PowerPoint, and Microsoft Outlook.
  • Good knowledge of PDF management tools and reporting platforms such as Microsoft Power BI.
  • Proficiency in English language.
  • Experience with Microsoft Dynamics 365 is an advantage.
